Exchange Visitor Associate

JOB SUMMARY:
The Exchange Visitor Program Associate assists with addressing participant and host inquiries, concerns, and issues to ensure high levels of satisfaction as well as program compliance. This position provides support with processing applications and documentation. The Exchange Visitor Program Associate maintains accurate participant records and databases. This position provides administrative support with orientation sessions for incoming participants. The Exchange Visitor Program Associate coordinates various aspects of exchange visitor program management to include participant screening, pre-arrival logistics, participant onboarding, on-program support, data management, site visits, and post-program services. This position reports to the Program Manager and provides excellent service to team members and clients while demonstrating the company values and supporting the mission.
JOB DUTIES AND RESPONSIBILITIES:
- Assist with addressing participant and host inquiries, concerns, and issues to ensure high levels of satisfaction as well as program compliance
- Assist with processing participant applications and documentation
- Maintain accurate participant records and databases
- Provide administrative support with orientation sessions for incoming participants
- Coordinate visa appointments and issuance
- Provide pre-departure information and guidance
- Assist with travel arrangements and accommodations
- Maintain regular communication with participants throughout their program
- Provide assistance with administrative tasks
- Resolve participant issues and concerns in a timely manner
- Coordinate with host institutions and supervisors
- Assist participants with program completion and evaluations
- Facilitate optional extensions or changes of status
- Provide guidance on re-entry to home countries
- Prepare reports and statistics as required
- Perform other duties as assigned
REQUIRED QUALIFICATIONS:
- Bachelor’s Degree in Business Administration, Operations, Student Personnel Services, Student Affairs or related field
- 2 years of experience in customer service
- Proficient in Microsoft Office
- Basic understanding of the U.S Cultural Exchange program purpose and rules
- Willingness and aptitude for acquiring new knowledge and skills
- Ability to accurately follow instructions and complete tasks with precision
- Adherence to ethical standards and professional behavior in a workplace setting
- The ability to adjust to new tasks and responsibilities
- A desire to learn and explore new ideas
- Ability to find information and resources to support their work
- Ability to work on multiple projects simultaneously while accomplishing daily tasks
