The Leadership Development Coordinator is responsible for the coordination of communications and administrative support services to local REALTOR® Association Executives (AEs), Association Presidents and Association staff. This role includes maintaining webpages on car.org for Association Executives and special event websites; preparing a weekly email communications; supporting Zoom meetings and webinars; and managing materials and logistics for C.A.R. Business Meetings. The coordinator will also handle logistics for various events, including the annual Leadership EDGE conference; educational webinars, Association Executive/Government Affairs Directors Summit conference, AE Sounding Board Meetings, and AE Networking Sessions. Job Title: Leadership Development Coordinator
Reports To: Leadership Development Project Manager
Group: Leadership Development
Compensation Range: $70,000 to $75,000 Annually
FLSA Status: Exempt
Responsibilities:
- Provide comprehensive administrative support to the SVP of Leadership Development and the Leadership Development team. This includes scheduling and coordinating meetings, preparing meeting agendas and minutes, managing email communications, and handling correspondence. Additionally, the coordinator will be responsible for maintaining and updating files and records, managing travel arrangements, processing expense reports, and ensuring that the team has the necessary resources and materials for their projects and initiatives. The role also involves anticipating the needs of the SVP and the team, proactively addressing issues, and ensuring that all administrative tasks are completed efficiently and accurately.
- Serve as a primary point of contact for internal and external stakeholders, maintaining professional and collaborative relationships between C.A.R. and the local Association Presidents, Association Executives and local Association staff.
- Coordinate and manage logistics for meetings and events (both virtual and in-person), including online registration, Zoom meeting management, speaker coordination, promotional email distribution, hotel room reservations, agenda preparation, payment processing, website content, A/V needs coordination, and feedback surveys.
- Take ownership of assigned projects through coordinating resources, timelines, and deliverables, to ensure successful completion.
- Respond to inquiries and communicate relevant information to key stakeholders timely and effectively. Create and disseminate regular communications, curate content, prioritize articles, and perform copy editing.
- Assist in budget preparation, monitor expenditures, and make recommendations for resource allocations to maximize efficiency and cost-effectiveness.
- Responsible for maintaining accurate member data for Association Executives and Association Office records in the Association’s membership database, maintain rosters for AEs and Association Presidents, maintain AE tenure information, and maintain new AE records.
Basic Qualifications:
- Associate degree
- Previous experience in a coordinator role or administrative position
Preferred Qualifications:
- Bachelor's degree
- Experience working for an association or non-profit
Additional Skills and Abilities:
- Administrative Skills: Advanced administrative support skills, including managing multiple projects and deadlines, leading internal process improvements, maintaining an orderly filing system, and proficient time-management abilities.
- Interpersonal Skills: Exceptional interpersonal skills, patience, and professional etiquette when dealing with difficult or sensitive situations. Ability to build and maintain professional relationships with internal and external stakeholders.
- Communication Skills: Proficient writing skills with the ability to create and disseminate clear, concise, and engaging communications. Strong copy-editing abilities and attention to detail in written materials.
- Organizational Skills: Highly organized with the ability to prioritize tasks, manage multiple calendars, and coordinate complex logistics for events and meetings.
- Technical Skills: Strong computer/technological skills, including intermediate to advanced level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), experience with virtual meeting platforms (Zoom, Microsoft Teams), and the ability to quickly learn new software and technologies.
- Event Coordination: Experience in coordinating and managing logistics for virtual and in-person events, including registration, speaker coordination, promotional communications, and on-site logistics.
- Budgeting and Financial Management: Ability to assist in budget preparation, monitor expenditures, and make recommendations for resource allocations to maximize efficiency and cost-effectiveness.
- Problem-Solving Skills: Strong problem-solving abilities, including identifying areas for improvement, streamlining processes, and implementing innovative solutions to enhance operational efficiency.
- Customer Service: Demonstrated commitment to providing excellent customer service and support to internal and external stakeholders with an outstanding customer service orientation.
- Team Collaboration: Experience working effectively in a fast-paced team environment, demonstrating flexibility, adaptability, and a collaborative approach to achieving team goals.
