Job DescriptionJob DescriptionWe are offering a contract to hire employment opportunity for an Office Manager in the legal industry based in Tulsa, Oklahoma. The successful candidate will be instrumental in ensuring the smooth and efficient running of the office, handling highly sensitive materials, and providing administrative support to case managers and attorneys.

Responsibilities:

• Manage and direct incoming phone calls professionally and promptly.
• Utilize various software systems to input data swiftly and accurately.
• Handle incoming mail by scanning, naming, and importing into the appropriate systems.
• Prepare and mail out daily documents drafted by attorneys and case managers.
• Respond to daily mail by mailing out appropriate letters.
• Dispatch daily attorney representative forms to new clients.
• Process daily and monthly expense invoices and monthly collection letters.
• Take invoice payments over the phone from clients.
• Order and maintain all office and kitchen supplies.
• Utilize various accounting software systems for financial tasks.
• Manage customer relations, including answering inbound calls and maintaining accurate customer records.• Minimum of 5 years experience as an Office Manager in the legal industry
• Proficiency in Accounting Software Systems and ADP - Financial Services
• Experience with Concur, CRM, and Dentrix Dental Software
• Familiarity with About Time software
• Comprehensive understanding of Accounting Functions
• Experience with Accounts Payable (AP) and Accounts Receivable (AR)
• Proven ability to handle Answering Inbound Calls
• Excellent organizational and leadership skills
• Strong communication and interpersonal abilities
• Problem-solving aptitude
• Bachelor's Degree in Business Administration or relevant field is preferred.
