Title: Sales/Operations Administrative Assistant

Position Summary: We are looking for a motivated and detail-oriented Sales/Operations Administrative Asisstant to provide support for both the Sales and Operations teams. This role is critical in ensuring the smooth flow of administrative tasks, facilitating communication, and optimizing team productivity. The ideal candidate is highly organized, resourceful, and capable of balancing priorities in a dynamic environment,

What you’ll do:

Administrative Support:

  • Manage and prganize team calendars, scheduling meetings, appointments, and travel arrangments.
  • Prepare and maintain documents, reports, proposals and presentations.
  • Assist with data entry, tracking, and updates for sales, and opperational systems.
  • Maintain accurate and up to date records of client accounts, contracts, and invoices.

Sales support:

  • Serve as a point of contact for sales inquiries, providing timely responses for directing them to appropriate team members.
  • Support the preperation of sales proposals, agreements, and customer presentations.
  • Assist with tracking and reporting key sales, metrics, including sales perofrmances and pipeline updates.
  • Coordinate with the sales team to manage customer communications and ensure follow ups are completed.

Operations support:

  • Assist with order processing, tracking and fulfillment coordination.
  • Support inventory management by maintaining records and assisting with restocking schedules.
  • Collaborate with the operations team and optimize records and assisting with restocking schedules.
  • Help monitor delivery schedules, truck routing, and fuel usage to ensure efficiency.

Communication and Coordination:

  • Act like a liason between sales, operations, and other departments to facilitate information sharing.
  • Assist with organizing team meetings, including perparing agendas, taking minutes, and tracking follow-up actions.
  • Respond to client or vendor inquiries promptly and professionally.

Special Projects:

  • Support key sales and operation initiatives, including process impprovements and special campaigns.
  • Conduct research and provide recommendations to improve sales or operational efficiencies.

About you:

  • High school diploma or equivalent required. An associate degree or Bachelor's degree preferred.
  • Minimum of 2-3 years of administrative experience, ideally in sales or operations.
