Construction Administrative Assistant

Responsibilities:
• Facilitate internal and external project communication and maintain accurate project status records and activities.
• Act as the primary point of contact, communicating and following up with general contractors, vendors, and subcontractors.
• Coordinate project schedules and payroll information.
• Create and maintain comprehensive project documentation, plans, and reports.
• Manage the filing of permits.
• Oversee the submittals/material release process.
• Handle requests for information (RFIs).
• Manage change orders.
• Oversee job start-ups.
• Handle subcontractor contracts and purchase orders.
• Send out Certificates of Insurance (COI) and W-9 forms.
• Administer T& M contract billing.
• Assist with bids, quote numbers, setup, and distribution.
• Type and email proposals as needed.
• Assist the department in day-to-day operation and organization.• Demonstrated experience in the construction or contractor industry
• Proficient in answering inbound calls and managing email correspondence
• Familiarity with administrative assistance tasks and procedures
• Ability to efficiently coordinate projects and meet deadlines
• Skilled in Microsoft Excel and Microsoft Outlook
• Knowledge of construction processes and industry standards
• Excellent communication and interpersonal skills
• Strong organizational skills and ability to multitask
• Ability to work independently and as part of a team
• High attention to detail and problem-solving skills
• Proven record of reliability and responsibility.
