Job Description:

  • This position is as a Project Management Analyst (PMA) supporting the Distribution Program Management Office (DPMO)

  • This position provides day to day support of a Sr. Project Manager responsible for a variety of electric utility distribution programs and projects, primarily in Washington DC area.

  • Support on a variety of project analytical activities, contract administration including supporting development of RFP's for distribution programs, creation contract requisitions, contract payment authorizations, invoice review and approval, accruals, and overall contract tracking.

  • Managing a large amount of program level data that is tracked through a variety of programs including Microsoft Excel, Microsoft SharePoint, and Microsoft PowerBi.

  • The Project Management Analyst is the right-hand for the project manager and will need to have the skills and experience to step in for and fully support the project manager.

  • The role ranges from standard clerical or administrative activities (meeting minutes) to complex coordination of information and vendors for a project.

  • The work can be fast paced, with multiple project managers to support, each with multiple projects in a variety of stages.

  • This position is a contract position with a utility company client that specializes primarily in electrical transmission and distribution.

  • This role is a critical part of the capital projects execution group.

  • Create and maintain stakeholder registers.

  • Send meeting invitations, create meeting agendas, record and distribute meeting minutes.

  • Develop and maintain action item logs, follow-up on action items.

  • Develop and maintain contracts and change order register by project.

  • Enter contract requisition requests and contract change requests into procurement software, including attaching all necessary backup documentation.

  • Communicate with vendors regarding expectations and deadlines, answer questions from vendors on payment status.

  • Review and process invoices for approval, including communicating with vendors to resolve issues.

  • Coordinate with project cost analyst to determine vendors that may have missing invoices and follow up to obtain required information.

  • Project Administration: Maintain project accounting log of all project IDs and related codes.

  • Submit estimate requests through the project management software, including all required documentation.

  • Project Closure: Run reports and coordinate actions from the various systems to support the closure of projects including requesting PO closure, work order closure, and final invoicing.

Qualifications:

  • Minimum Bachelor's degree

  • CST/CPS; CCT/CCP; CAPM/PMP a plus

  • 1-5 years' experience

  • A good mix of analytical / office admin / project manager experience

  • Problem Solving Skills

  • Time Management Skills

  • Communication Skills

  • Proficiency with MS Office Suite (esp. Excel- assessments highly desired for consideration - testing for V-lookups, pivot tables and equations.)

  • Strong analytic skills including specific experience with advanced functions in Excel.

  • Organized (deal with high volumes of orders), vocal (interaction with a variety of stakeholders required)

  • Some knowledge of utility construction is a plus

  • Detail Oriented

  • Intermediate to expert skills in MS office applications, especially PowerPoint, Excel, and Word

  • Intermediate skills in Project Management software such as, Unifier, Asset Suite 8 or similar software

  • Knowledge of Project Management procedures and processes

  • 3+ years track record of successful related experience that demonstrates skills in project

  • management processes, cost, schedule, document control, and/or contract management.

  • Experience with utilities (electric, gas, water, etc.) a plus

  • Familiarity with commercial, legal, technical and construction activities required to deliver projects.

  • Project management skills, including managing and prioritizing multiple projects, stakeholders, and deadlines.

  • Independent thinker able to thrive in a fast-paced, dynamic environment.

  • Proven ability to produce error-free work under defined deadlines.

  • Ability to balance focus on the various aspects of the job, setting priorities and maintaining consistency.

  • Ability to work on multiple projects simultaneously and manage ambiguity.

  • Team player with strong initiative, intrinsically motivated, works autonomously.

  • Excellent verbal and written communication skills, including public speaking, negotiating and customer service.
