Development Office Assistant

Responsibilities:
• Accurately enter and maintain financial data, including invoices, receipts, and other transactions.
• Ensure data integrity by reviewing, reconciling, and validating data entries for accuracy and completeness.
• Assist in tracking and recording accounts payable and receivable entries, verifying invoices and payments to ensure timely and accurate posting.
• Respond to vendor inquiries regarding payments and assist in resolving discrepancies.
• Support monthly and annual financial closings by preparing and reconciling accounts as needed.
• Compile and summarize data for financial reports and assist in generating reports for management review.
• Identify and report discrepancies or issues found during data entry or reconciliation processes.
• Adhere to accounting policies, internal controls, and regulatory standards in all data handling and record-keeping practices.
• Suggest process improvements to enhance accuracy and efficiency in data entry and reporting.
• Maintain an organized and efficient office environment by managing supplies, filing documents, and coordinating maintenance needs.
• Schedule appointments, meetings, and events, ensuring proper preparation and setup.
• Serve as a primary point of contact, handling incoming calls and mail, and directing communications to appropriate team members.
• Prepare general correspondence, memos, agendas, minutes, reports, and other documents, and respond to routine inquiries.
• Assist with special projects and events as required, maintaining a high degree of confidentiality.• Proficiency in accounting software systems is essential
• Experience with ADP - Financial Services is required
• Familiarity with CaseWare software would be an advantage
• Experience with Concur software is necessary
• Proficiency in ERP - Enterprise Resource Planning is required
• Ability to perform accounting functions efficiently is essential
• Experience in managing accounts payable (AP) and accounts receivable (AR) is needed
• Auditing skills are required
• Experience with bank reconciliations is necessary
