Job DescriptionJob DescriptionWe are offering a contract to hire employment opportunity for a motivated Administrative Assistant in Morristown, New Jersey. This role falls within the Financial Services industry and primarily entails the provision of comprehensive administrative support. The selected individual will be based on-site and will have the chance to contribute significantly to our daily operations.

Responsibilities:

• Ensuring effective utilization of systems such as Salesforce, Schwab, and Tamarac for the management and maintenance of client information.
• Handling the main line phones to facilitate smooth communication within the organization.
• Providing administrative support to client-facing employees through activities such as correspondence, mailings, and managing UPS.
• Overseeing the scheduling and organization of all conference room calendars.
• Setting up meeting rooms for client visits and ensuring all necessary resources are available.
• Ordering and maintaining a sufficient inventory of supplies for company employees.
• Notifying the relevant departments when office equipment such as copiers, printers, and postage machines require repair.
• Sorting and distributing all incoming company mail to the operations support team for scanning.
• Assisting in the preparation of expense reports and travel itineraries for client-facing employees when necessary.
• Managing the processing of all vendor invoices in Salesforce and keeping track of Accounts Payable.
• Conducting research, compiling statistics, gathering and computing various data to prepare comprehensive reports.
• Undertaking other duties such as special projects and assisting the Office Manager with event planning.• Proven experience in Administrative Assistance within the Financial Services industry
• Proficiency in handling Wire Transfer operations
• Solid knowledge of Banking & Brokerage procedures and regulations
• Exceptional Data Entry skills, with high attention to detail and accuracy
• Excellent organizational and multitasking abilities
• Strong verbal and written communication skills
• Proficiency in using Microsoft Office Suite and other relevant software
• Ability to maintain confidentiality of sensitive information
• Strong problem-solving skills and the ability to make decisions under pressure
• Ability to work independently and collaboratively within a team
