Position Overview
Reporting to the Senior Vice President and Executive Director, the Chief of People and Operations spearheads the organization's people and operational strategies. This role encompasses all aspects of employee experience, Diversity, Equity, and Inclusion, alongside overseeing site operations and financial management. The Chief of People and Operations is a vital member of the Senior Leadership Team, managing a diverse range of internal vendor relationships and departments, and collaborating closely with Headquarters. This position also leads special initiatives focused on organizational culture and strategic planning.
The Chief of People and Operations serves as a trusted advisor to the Executive Director and, when necessary, represents the Executive Director in high-level meetings and discussions. They will oversee urgent issues and initiatives that span cross-functional, organizational, and community dimensions, while also ensuring a robust support structure for site staff and AmeriCorps members.

Key Responsibilities:

Budget Development and Financial Oversight
  • Collaborate with the Executive Director to monitor and report monthly on financial forecasts and expenditures.
  • Oversee departmental budgets and recommend strategies to meet financial goals.
  • Manage purchasing and invoicing processes, including expense reports and travel budgets.
  • Lead the annual budget design process for the site.
  • Act as the liaison to the Site Board Governance and Nominating Committee.
People Strategy
  • Partner with the Executive Director to implement a data-driven approach to enhance staff culture, including professional development and engagement initiatives.
  • Work with hiring managers to develop and coordinate recruitment strategies for open positions.
  • Facilitate new staff onboarding to ensure a smooth transition and support.
  • Co-lead Executive Leadership and team retreats in collaboration with the Executive Director.
  • Serve as a liaison with City Year headquarters to contribute to organization-wide policies and practices.
  • Assist staff and AmeriCorps members in navigating benefits and HR policies, acting as a resource for HR-related inquiries.
Site Operations
  • Collaborate with the Executive Director to execute the strategic plan effectively.
  • Ensure positive operational outcomes for the City Year site.
  • Maintain relationships with building management and vendors to address issues promptly.
  • Oversee site communications and user experience in various systems.
  • Manage communal office policies to ensure organization and cleanliness.
  • Facilitate the implementation of Corps Experience elements, including uniform management and relocation assistance.
  • Identify and address IT needs at the site level.
Executive Office Management
  • Support the execution of the strategic plan as part of the Senior Leadership Team.
  • Supervise the Community Partnership Manager, providing coaching and performance evaluations.
  • Manage workflow within the Executive Office and Site Leadership Team.
  • Develop agendas for staff meetings and facilitate discussions.
  • Foster collaborative relationships on behalf of the Executive Director.
  • Establish and communicate site-wide policies in consultation with City Year Inc.
Sitewide Support Initiatives
  • Assist the Executive Director in organizing Advisory Board communications and meetings.
  • Collaborate with all site departments to ensure smooth execution of site-wide events.
  • Lead initiatives focused on Diversity, Inclusion, and Equity, as well as Site Advancement Planning.
  • Serve as the site contact for health and safety measures.
  • Develop and implement workplace health and safety plans in accordance with legal guidelines.
Qualifications
  • College degree required.
  • A minimum of 5 years of experience in leading cross-functional teams and managing HR and operations.
  • Proven ability to guide directors and managers in creating and executing complex operating plans and budgets.
  • Strong organizational and project management skills, capable of handling multiple priorities effectively.
  • Experience in developing partnerships with community organizations and civic leaders.
  • Excellent analytical, verbal, and written communication skills, demonstrating diplomacy and problem-solving abilities.
  • Proficiency in Microsoft Suite is advantageous.
  • Experience in conflict resolution and group facilitation.
  • Strong leadership and negotiation skills are essential.
  • Deep understanding of City Year's mission and core values.
