Role Summary:

The Accounts Receivable and Credit Operations Manager is essential in formulating and managing effective credit and collections strategies that enhance cash flow and reduce outstanding receivables. This role involves evaluating credit risks related to clients and suppliers, advising on credit applications, payment conditions, customer deposits, and credit limits. The manager will create and execute processes that improve cash flow management, supervise overdue accounts, negotiate collections, and pinpoint areas for operational enhancements. Additionally, this position oversees cash application processes and ensures adherence to company protocols while leading a team to achieve departmental objectives within budgetary limits.

Key Responsibilities:

  • Oversee the collection of overdue invoices and credits to maximize profitability while ensuring compliance with company standards.
  • Conduct thorough research on customer credit histories, reach out to references, and assist in comprehensive credit evaluations.
  • Confirm outstanding balances before processing lien waivers and aid in the waiver procedure.
  • Manage all aspects of collections, including negotiations with delinquent accounts, resolving disputes, accelerating payments, referring accounts to collection agencies, and conducting follow-ups.
  • Devise and implement creative strategies to enhance recovery rates on outstanding debts.
  • Train, mentor, and assess team members within the credit and collections department to align with organizational objectives.
  • Establish and coordinate departmental goals that align with broader business strategies, focusing on continuous improvement.
  • Design outreach processes for contacting clients with overdue accounts based on aging reports to secure past-due payments.
  • Ensure adherence to credit issuance protocols and approval processes.
  • Supervise daily credit applications and manage customer credit limits to mitigate financial risk.
  • Guarantee the accuracy of information provided to third-party collections and lien filing partners, offering recommendations for legal collection actions when necessary.
  • Monitor and negotiate payment terms with clients on overdue accounts and establish final demand procedures.
  • Research, select, and collaborate with third-party collection and lien attorneys/agencies to bolster internal capabilities.
  • Develop key performance indicators (KPIs) to track and report on the success of credit and collection initiatives.
  • Maintain the integrity and confidentiality of customer accounts, relationships, and sensitive information.
  • Plan, assess, implement, and consistently seek enhancements in all facets of credit and collections operations.
  • Proactively engage with select clients to address receivables issues as necessary.
  • Undertake additional projects and responsibilities as assigned by management.

Qualifications:

  • Bachelor's degree in Business, Finance, or a related discipline.
  • 5+ years of experience in credit and collections, with a focus on managerial, supervisory, or specialist roles.
  • A minimum of 2 years in a leadership capacity.
  • Strong skills in collections, analysis, and negotiation, along with effective verbal and written communication.
  • Thorough understanding of commercial credit and collection regulations, as well as contracts, purchase orders, and related documentation.
  • Ability to excel in a fast-paced environment while effectively managing multiple priorities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and SharePoint.
  • Excellent communication skills through phone, email, and face-to-face interactions.
  • Willingness to work additional hours during peak periods or as required by management.
  • Valid driver's license with reliable transportation.
  • Ability to successfully complete pre-employment background and drug screenings.
