Position Summary: We are looking for a meticulous and organized individual to fill the role of Logistics Coordinator and Office Administrator within our Southern Arizona Division. This position encompasses both the coordination of logistics and the management of office administrative duties. The ideal candidate will possess exceptional communication abilities, adept multitasking skills, and a dedication to providing exemplary support to our field personnel and clients.

Key Responsibilities:

  • Logistics Coordination:
    • Manage the divisional schedule using HCSS Dispatcher in collaboration with the General Superintendent.
    • Engage with drivers and field personnel to ensure efficient and timely task dispatching.
    • Collaborate closely with Site Superintendents and the General Superintendent for effective equipment and workforce coordination.
    • Maintain and update the dispatch system within HCSS Dispatcher.
  • Office Administration:
    • Handle incoming calls, respond to inquiries, and manage communication with clients and vendors.
    • Oversee office supplies and inventory, placing orders as necessary.
    • Prepare and manage documentation, including reports, invoices, and work orders.
    • Schedule appointments, meetings, and events efficiently.
    • Assist with data entry and ensure accurate record-keeping in the company database.
    • Support the team with various administrative tasks, including filing and document management.

Qualifications:

  • High school diploma or equivalent; an associate's degree or higher is preferred.
  • Experience in logistics coordination or office administration is advantageous.
  • Strong organizational and multitasking capabilities with effective prioritization skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • Ability to work independently as well as collaboratively within a team.
  • Proactive problem-solving skills to address challenges effectively.
  • Must be able to lift and carry a minimum of 30 lbs.
  • Valid driver's license with a satisfactory driving record.
  • Must be drug-free and able to pass pre-employment and random drug screenings.
  • This position is safety-sensitive.
