Position Summary:

The Sales Support Specialist plays a crucial role in providing administrative assistance to our esteemed service sales team. This position collaborates closely with the VP of Sales and the Service Operations Manager to enhance sales performance while ensuring exceptional client communication, quality service, and productivity.

The primary objective is to establish our reputation as a premier service provider in the industry.

Key Responsibilities:

  • Exhibit a goal-oriented mindset with a solid understanding of sales and customer service best practices.
  • Support sales initiatives to achieve high levels of customer satisfaction and drive overall service business growth.
  • Allocate new client sales leads to sales representatives based on designated geographic territories or market segments.
  • Conduct preliminary assessments and prepare all new contracts and agreements for the service sales team, identifying potential risks and liabilities.
  • Assist in the administrative aspects of large portfolio RFPs (Requests for Proposals).
  • Maintain various client prequalification portals and ensure all necessary information is up to date.
  • Conduct inside sales for upcoming five-year inspections and alarm monitoring renewals for existing accounts.
  • Facilitate the transition of existing agreements to new owners/clients and assist in executing new agreements during ownership changes.
  • Manage current and historical reports and job statuses for key account clients.
  • Coordinate client presentations, industry events, and educational sessions.
  • Compile and prepare monthly service revenue reports for the VP of Sales in advance of monthly commission reports.
  • Promote a culture of continuous improvement and learning by providing constructive feedback to team members.
  • Perform any other duties as assigned.

Required Qualifications:

  • High School Diploma or GED
  • A minimum of two years of experience in inside fire protection inspection or monitoring sales, or two years of administrative experience related to fire protection inspections or alarm monitoring sales.
  • Familiarity with fire protection systems and/or alarm monitoring.
  • Experience with service industry software systems (e.g., Q360, ServiceTrade).
  • Proficiency in Microsoft Excel.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and projects simultaneously.
  • Excellent time management and organizational skills.
  • Ability to work independently and prioritize effectively.
  • Strong communication skills.

Preferred Qualifications:

  • Active notary public license
  • Previous experience in billing, invoicing, or accounting

Position Type and Expected Hours of Work:

This is a full-time role. Standard working hours are typically Monday through Friday, with an expectation of eight hours per day. However, additional hours or alternate schedules may be necessary based on business requirements.
