Job Description

The Associate Director, Strategic Planning and Operations role is a critical position that reports to the VP of PCS and partners closely with the leadership team. As a trusted strategic advisor and counsel, you will be responsible for managing the communications platform and internal and external communications, overseeing strategic business initiatives, process improvement, planning and managing administrative, financial, and operational activities, and creating and maintaining cross-departmental relationships to enable leadership success.

Key Responsibilities
  1. Manage the agenda, scheduling, and distribution of meeting materials, ensuring meeting objectives are met and creating and distributing meeting notes and action items.
  2. Oversee the management of the master PCS calendar, including VP meetings, events, and engagements.
  3. Maintain a database of contacts and distribution lists, including external agency partners, vendors, and AbbVie stakeholders.
  4. Manage electronic files for the VP and automate the execution of forms and surveys for information gathering and document submission.
  5. Be responsible for budget and expense management, including managing agency budget, creating purchase orders, and reconciling invoices within scope of budget and SOW.
  6. Lead project management for internal event planning, strategic initiatives, and governance processes for PCS oncology deliverables.
  7. Lead project management for external-facing initiatives, including external conference planning and coordination for PCS team, planning and coordination of expert engagements with PCS team in partnership with other functions.
  8. Oversee the flow of internal and external communication for the VP, triaging speaker requests and other inquiries, and generating internal correspondence on behalf of the VP.
  9. Streamline processes to increase efficiency and productivity.
  10. Serve as a culture ambassador, exemplifying the core values of the organization, modeling the behaviors that support the mission and vision of the organization, and promoting the rallying cry of the Go Beyond platform.
  11. Develop and maintain business relationships across various AbbVie functional areas.
Qualifications
  • Bachelor's degree
  • 5 years plus pharma industry experience
  • Proven strategic capabilities, organization, and communication skills
  • Ability to work efficiently in a matrix organization
  • Effective communication, conflict resolution, organizational, and leadership skills
  • Ability to effectively present ideas and document complex processes in both written and oral communication
  • Proven track record of anticipating and resolving problems while exhibiting judgement and a balanced, realistic understanding of issues
Additional Information

The compensation range for this role is $133,500 - $253,500. AbbVie offers a comprehensive package of benefits, including paid time off, medical/dental/vision insurance, and 401(k) to eligible employees. This job is eligible to participate in our short-term and long-term incentive programs.
