We are seeking a highly organized and detail-oriented Meeting Coordinator to join our team at Wilmerhale. As a Meeting Coordinator, you will be responsible for coordinating and planning meetings, events, and conferences for our clients.
Key Responsibilities- Coordinate and plan meetings, events, and conferences, including venue selection, catering, and audiovisual equipment.
- Manage meeting invitations, RSVPs, and follow-up communications.
- Prepare and distribute meeting materials, including agendas, minutes, and supporting documents.
- Coordinate travel arrangements for meeting attendees, including flights, hotels, and transportation.
- Manage meeting budgets and ensure that expenses are within approved limits.
- Provide exceptional customer service to meeting attendees and clients.
- Collaborate with internal stakeholders to ensure seamless execution of meetings and events.
- Stay up-to-date with industry trends and best practices in meeting planning and coordination.
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Minimum 2 years of experience in meeting planning, coordination, or a related field.
- Excellent communication, organizational, and time management skills.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
- Ability to travel up to 25% of the time.
