Job Title: Practice Administrative Associate

Job Summary:

We are seeking a highly organized and detail-oriented Practice Administrative Associate to join our team at Yale New Haven Health. As a key member of our medical office team, you will be responsible for coordinating patient care and physician activity, maintaining accurate medical records, and providing exceptional customer service to our patients and families.

Responsibilities:

  • Maintain appointment schedules, communicate schedule changes to staff and physicians, and ensure seamless coordination of patient care.
  • Coordinate the check-in process, verify patient information, and obtain necessary signatures in accordance with NEMG policies and procedures.
  • Answer telephone calls, provide accurate and complete messages, and refer callers to appropriate personnel as needed.
  • Execute pre-authorizations for diagnostic tests and procedures, track referrals, and maintain electronic medical records.
  • Perform daily activities, including message retrieval, voicemail, fax distribution, filing, photocopying, and mail sorting.
  • Collect and reconcile co-pay collections, cash drawers, and credit card payments within Epic.
  • Collaborate in quality improvement and evaluation activities, attend staff meetings, and participate in patient and family feedback initiatives.
  • Interact effectively and professionally with diverse populations, coordinate patient feedback, and participate in interventions to address articulated needs.

Qualifications:

  • High School degree or equivalent required.
  • 1 year of administrative healthcare experience or 2 years of administrative office experience required.
  • Excellent organizational, communication, customer service, and teamwork skills required.
  • Ability to multi-task, EMR experience preferred, and working knowledge of Microsoft office applications required.
