About the Role

As a Senior Medical Office Manager at Mount Sinai Hospital, you will play a crucial role in supporting our supervising physicians in an offsite practice setting. We are looking for a highly skilled and experienced professional who can provide administrative support, including clerical, reception, and telephone support, as well as scheduling and coordinating appointments for patients within practice and with outside specialties.

The ideal candidate will have a strong background in healthcare administration, excellent communication and organizational skills, and the ability to work effectively in a fast-paced environment. As a Senior Medical Office Manager, you will be responsible for maintaining logging systems, checking in and registering patients, and maintaining medical charts and/or electronic medical record.

We offer a competitive salary range of $70,000 - $90,000 per year, depending on experience, as well as a comprehensive benefits package and opportunities for professional growth and development.

Responsibilities
  1. Clerical, reception, and telephone support for practice
  2. Scheduling and coordinating appointments for patients within practice and with outside specialties
  3. Acquiring insurance authorizations for procedures and tests ordered by physician
  4. Maintaining logging systems as required for tracking test results
  5. Check-in and registration
  6. Maintenance of medical charts and/or electronic medical record (filing, Op Reports, test results, home care forms)
  7. Preparing patient charts, reviewing for appropriate and needed records
  8. Creating pre-admissions and obtaining necessary consent forms for scheduling purposes
  9. Retrieving physician correspondence from dictation service and editing where necessary
  10. Scheduling surgeries/procedures or working in conjunction with Surgical Coordinator team to verifying times with patients; preparing charts, pre-admissions, and consent forms as necessary
  11. Preparing physicians' mail correspondence and retrieving mail from mailroom
  12. Directing patient flow during practice hours and rooming patients
  13. Discussing payment arrangements with patients prior to office procedures/visits, in coordination with surgery finance authorization team
  14. Ordering supplies, reviewing stock of supplies, or putting away supplies
  15. Collecting patients' copayment/account balance, as well as needed insurance referrals
  16. Processing specimens for in-office procedures, completing necessary requisitions with MD approval, and ensuring specimen is sent to appropriate department for review
  17. Assisting with credentialing as needed
  18. Compiling documents for surgical billing packages (i.e., surgical encounter forms, insurance information, consents, etc.)
  19. Maintaining, adjusting, and confirming patient office schedule
  20. Participating in revenue cycle processes
  21. Performing medical scribe functions
  22. Payment posting and record keeping
  23. Opening and closing physician schedules, and working to build template or make changes as needed
  24. Performing various screenings and confirmation calls in advance of clinic session
  25. Assisting supervisor/manager with staff schedules and coverage
  26. If qualified, may be responsible for Medical Assistant duties, such as performing venipuncture and/or EKGs, accompanying patients to exam/procedure room, assisting patients as needed with walking, transferring, and dressing, as well as collecting specimens and point-of-care testing, preparing for exam, etc. May assist physicians with various procedures, takes vital signs, relays instructions to patients and/or families; answers calls and provides pertinent information
