Job Summary

We are seeking a highly organized and detail-oriented Accounts Payable Specialist to manage our accounts payable process, ensuring timely and accurate processing of invoices, payments, and expense reports.

This role is crucial in maintaining the financial health of our construction projects. If you have experience in the construction industry, a strong eye for detail, and can handle high volumes of transactions, we want to hear from you.

Key Responsibilities:

  • Invoice Processing: Review, verify, and process vendor invoices and subcontractor payments, ensuring accurate coding, job costing, and compliance with contracts.
  • Payment Management: Prepare and process ACH, checks, and wire payments, ensuring early payment discounts are utilized and contractual obligations are met.
  • Reconciliation: Reconcile vendor statements, resolving discrepancies directly with vendors and subcontractors.
  • Lien Waivers: Collect and file lien waivers from subcontractors before payments are released.
  • Purchase Orders: Match purchase orders, receipts, and invoices to verify pricing, quantities, and authorizations.
  • Expense Reports: Review and process employee expense reports, ensuring compliance with company policies.
  • Record Keeping: Maintain up-to-date and accurate records of invoices, payments, and approvals.
  • Vendor Relations: Serve as the point of contact for vendor inquiries, fostering positive relationships.
  • Compliance: Ensure compliance with state and federal laws, including 1099 preparation and reporting.
  • Month-End Close: Assist with accounts payable reconciliation and accruals for month-end close.
  • Process Improvement: Identify and implement process improvements for greater efficiency and accuracy.

Requirements:

  • Associate's or Bachelor's degree in Accounting, Finance, or related field.
  • 3+ years of accounts payable experience, preferably in the construction industry.
  • Familiarity with lien waivers, subcontractor payments, purchase orders, and job cost accounting.
  • Proficiency in accounting software (e.g., Sage 300) and Microsoft Excel.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks.
  • Excellent communication skills and the ability to resolve vendor issues professionally.
  • Ability to work independently and as part of a collaborative team.
