Patient Services Representative

We are seeking a highly skilled and detail-oriented Patient Services Representative to join our team at Baystate Health. As a key member of our healthcare team, you will be responsible for providing exceptional patient-centered care and administrative support to our patients and staff.
Key Responsibilities- Managing the Patient Experience: Greet patients promptly and warmly, demonstrating a high level of interest and concern. Maintain patient confidentiality and verify reason for visit. Gather and/or verify patient demographics and confirm referrals or pre-authorizations as necessary.
- Insurance Verification: Request proof of insurance, verify using appropriate systems, and initiate contact for financial counseling. Assist patients or customers in filling out and completing medical release of information accurately.
- Payments: Request, accept, and document co-payments and payments on account balances. Secure cash drawer according to departmental procedures and prepare daily deposit.
- Communication: Develop and maintain working relationships with coworkers and providers, other agencies, and ancillaries. Receive and provide information as necessary while complying with policies and regulations.
- Check out: Review patient information to ensure patient has necessary information, schedule follow-up/next visits, and provide referrals. Time stamp patient out in appropriate system(s) and offer departure summary to every patient.
- Telephone: Answer telephones in a prompt and courteous manner, routing calls to the appropriate person and/or creating messages in the system.
- Appointments: Schedule/create new, follow-up, or walk-in appointments according to practice guidelines. Ensure duplicate medical record numbers are not created and make reminder calls to patients.
- Mail Processing/Faxes: Open, sort, and distribute all incoming mail and faxes daily according to practice guidelines.
- Documentation: Print orders, letters, or one or two pages of medical records, directing or assisting in contacting HIM for later records, obtaining appropriate releases or approvals in compliance with practice policy and regulations.
- Schedules: Work physician schedules to ensure patients are seen in accordance with practice guidelines. Work with physicians and practice manager or supervisor to schedule or reschedule appointments to meet patient or practice needs.
- Leadership: Understand and comply with office procedures and policies. Make recommendations for changes to improve quality, efficiency, or patient experience.
- Interpreter Services: Provide interpreter services for nurses, providers, and social services staff as needed, accurately interpreting questions, information, and instructions for patients and providers.
We are looking for a highly motivated and detail-oriented individual with excellent communication and customer service skills. The ideal candidate will have experience in a healthcare setting and be proficient in medical terminology, keyboarding, and Microsoft Office products.
