The Team

We are in search of an Event Coordinator who is essential to our team, facilitating the smooth execution of both internal member events and external programming at Living Room. In this role, you will engage in every phase of the event process, from planning to execution and follow-up, ensuring each event is executed flawlessly. Your role demands thorough administrative preparation, ensuring no detail is overlooked.

We appreciate an Event Coordinator who possesses strong organizational capabilities, keen attention to detail, a genuine enthusiasm for events, effective communication skills, and a cultural awareness. Your proficiency in vendor management will enhance your effectiveness in this critical position.

The Role
  • Event Material Development: Create and propose detailed event materials, including layout designs, tailored menus, and schedules.
  • Administrative Responsibilities: Manage various administrative tasks, such as event bookings, drafting Banquet Event Orders (BEOs), sending proposals, scheduling meetings, and coordinating staffing and catering.
  • Client Engagement: Conduct site visits with clients, including pre-event walkthroughs, to ensure a comprehensive understanding of their needs, as well as post-event debriefs.
  • Event Inquiry Evaluation: Address incoming inquiries with relevant questions to determine event suitability, utilizing the established SOPs.
  • Documentation Management: Organize, archive, and update event contracts, receipts, vendor contact information, and other pertinent documents.
  • Billing Management: Oversee all event billing and payments, collaborating with the Finance Department and Membership Team through the CRM and POS systems.
  • Event Support: Assist the Food & Beverage team and manage the events team during events.
  • Additional Responsibilities: Perform any other tasks assigned by direct supervisors.

  • Exceptional organizational and multitasking abilities, with a focus on detail.
  • Effective collaboration skills with diverse teams and clear communication to ensure alignment with event vision.
  • Experience in event coordination across various settings, showcasing a proven ability to realize creative concepts.
Requirements:
  • A minimum of 3+ years of experience in planning and executing innovative events of varying scales.
  • Ability to excel in a high-volume, fast-paced environment, demonstrating effective multitasking.
  • Leadership qualities, creativity, and the ability to foster strong relationships within diverse teams.
  • Flexibility to work during various hours, including nights, weekends, and holidays as necessary.
  • Resilience in high-pressure situations and a commitment to delivering exceptional experiences.
  • Experience with Tripleseat is preferred.
  • Familiarity with membership club dynamics and interaction with high-profile guests.
