The Customer Service Associate Coordinator is responsible for managing booking requests and initiating the logistics and transportation processes for our services. Our organizational culture promotes individual talent, mutual trust, and continuous learning.
Key Responsibilities
- Ensure timely, accurate, and complete processing of orders within designated timeframes.
- Initiate order processing in accordance with customer specifications and internal procedural standards.
- Facilitate effective communication and collaboration with both internal and external stakeholders.
Core Duties
- Maintain departmental KPIs and customer satisfaction metrics as established by the team.
- Respond to incoming customer inquiries via phone and take appropriate actions.
- Monitor and address incoming customer emails to guarantee prompt communication; escalate issues for swift resolution.
- Keep precise, timely, and comprehensive records in our proprietary database.
- Conduct routine data entry tasks, including but not limited to entering new orders and updating shipment information in tracking systems.
- Perform various office-related tasks such as typing, faxing, mail distribution, and phone messaging as required.
- Organize and manage documents within the Document Management System.
- Assist in coordinating dispatch activities, including providing driver instructions and confirming deliveries.
- Update schedules, logs, and tasks on a daily basis.
- Carry out additional responsibilities as assigned.
Qualifications
- High school diploma or equivalent (HSED); some college education preferred.
- Minimum of 1 year of relevant customer service experience.
- Experience in the logistics or transportation sector is preferred.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook at a basic level.
- Ability to type at a speed of 35 WPM and experience with ten-key data entry.
- Excellent verbal, written, and listening communication skills.
- Ability to work independently and collaboratively as part of a team.
- Demonstrated capacity to maintain confidentiality with professionalism.
- Strong customer service skills with the ability to build effective professional relationships.
- High attention to detail and accuracy in data entry tasks.
