Role Summary

We are currently seeking a Parts Order Support Specialist to join our dynamic Parts department. This role is crucial in facilitating branch operations by managing parts orders, preparing quotes, and coordinating shipping and receiving tasks.

Key Responsibilities

  • Deliver exceptional customer service to both internal and external stakeholders through effective communication regarding:
    • Part specifications, sales orders, and confirmations
    • Inventory status, lead times, and expected shipping dates
    • Pricing information
  • Conduct research on part numbers and make necessary adjustments to coding and pricing within the system
  • Analyze ordering patterns and process customer purchase orders with a strong sense of urgency
  • Collect essential information and prepare quotes for customer evaluation
  • Maintain ongoing communication with customers throughout the order lifecycle, including quoting, order entry, acknowledgments, expediting, and invoicing
  • Ensure consistent communication with internal teams, including service coordinators and purchasing departments
  • Assist in inventory cycle counts and management of ERP systems

Candidate Profile

The ideal candidate for the Parts Order Support Specialist position will possess the following qualifications:

  • High school diploma or equivalent
  • A minimum of 3 years' experience in material handling or a related field, ideally within an industrial or distribution environment
  • Experience in manufacturing or industrial supply chain operations
  • Proven track record in a customer-facing role, providing assistance with inquiries related to parts, lead times, and inventory
  • Advanced proficiency in Microsoft Excel, including VLOOKUP and Pivot tables
  • Familiarity with Infor ERP LN or similar ERP/inventory management systems
  • Experience processing a high volume of purchase orders across diverse parts and products
  • A strong desire to grow within a rapidly evolving supply chain environment

  • Specific knowledge of air compressors or HVAC components
  • Understanding of the air compressor industry
