Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Hellings Builders, Inc. As a key member of our administrative staff, you will be responsible for ensuring the smooth operation of our office and providing exceptional support to our team.

Key Responsibilities
  • Coordinate all administrative activities, including receiving and distributing mail, deliveries, and ensuring all team members and vendor files are up to date.
  • Manage estimates, including calling if needed and entering leads into SalesNow.
  • Ensure all vendor certificates of insurance are current and maintain an accurate inventory of office supplies.
  • Maintain the Sales Binder for Staff and Team Apparel, ordering as necessary.
  • Collect, sort, and code mail, as well as create subcontractor contracts through DocuSign.
Requirements

To be successful in this role, you will need:

  • 2-3 years' experience as an executive-level assistant.
  • Strong computer skills, particularly with Microsoft Office applications and Sage.
  • Knowledge of basic accounting functions.
  • A strong compliance mentality and attention to detail.
