Position: Service Coordinator

Overview: We are seeking a dedicated Service Coordinator to support our service division operations. This role is essential for ensuring efficient service delivery and will report directly to the Service Manager.

Key Responsibilities:

  • Assist the Service Manager in the planning, scheduling, and dispatching of Service Technicians.
  • Handle incoming service requests, assess service needs, and prioritize calls while monitoring technician activities remotely.
  • Provide administrative assistance to Service Managers and Technicians, utilizing industry-standard dispatching software for scheduling.
  • Track and resolve any outstanding service tickets to ensure customer satisfaction.
  • Process purchase orders as needed and manage vendor invoices, ensuring accuracy and timely approvals.
  • Maintain organized files for projects, service contracts, and work orders.
  • Manage weekly payroll processing and maintain precise payroll records for the division.
  • Support the preparation of monthly reports and meeting documentation.
  • Assist in onboarding new technicians and facilitate customer bidding processes.
  • Collaborate with the accounting department for annual audit requests and compliance projects.
  • Oversee fleet administrative responsibilities and prepare various reports for management as required.
  • Perform general office duties including mailing, filing, scanning, and data entry.

Qualifications:

  • High school diploma or equivalent is required; an associate degree or further education is preferred.
  • A minimum of one year of experience in a dispatching, coordinating, or administrative support role is necessary.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with ERP systems is required.
  • Familiarity with dispatching software is preferred.
  • Excellent communication and multitasking abilities are essential, along with the capacity to manage a high volume of calls and emails.
  • Prior experience in the construction or trade services industry is desirable.
  • Strong written and verbal communication skills, self-motivation, and interpersonal skills are crucial.
  • Attention to detail, superior organizational skills, and the ability to manage multiple deadlines are required.
  • Must be adaptable and able to respond to changing priorities in a fast-paced environment.
