Position Overview

We are seeking a dedicated and mission-oriented individual who thrives in a supportive role and has a proven track record of achieving results in similar positions. The Front Office Associate is an essential member of the Operations Team, responsible for developing and executing effective daily systems and routines that foster a positive school environment and enhance learning, instruction, and organizational management.

Key Responsibilities:

  • Provide outstanding customer service as the initial point of contact for teachers, students, and families on campus.
  • Foster a welcoming front-office atmosphere where everyone feels valued and supported.
  • Collaborate with the Operations Team to ensure smooth execution of daily school operations and logistics.
  • Assist with administrative tasks and special projects to support the Leadership Team in achieving our ambitious objectives.

Typical Weekly Tasks:

  • Welcome and build rapport with all visitors to the office.
  • Respond to inquiries (in-person, via phone, or email) and provide accurate information while relaying messages to the appropriate staff promptly.
  • Design and maintain systems for managing front office procedures, including supply and copy requests.
  • Oversee office inventory, fulfill supply requests, and restock as necessary.
  • Maintain office equipment and provide basic troubleshooting support.
  • Develop and manage procedures for student check-in and check-out.
  • Filter and distribute office mail efficiently.
  • Create and maintain an inviting physical environment, including reception and meeting areas.
  • Support data management related to student attendance and information systems.
  • Assist in recruiting and enrolling new students.
  • Schedule meetings for leadership based on calendar availability.
  • Help plan and execute school events.
  • Prepare and distribute school-wide communications.
  • Assist with purchasing and expense reporting.
  • Work on special projects aligned with the Operations Team's vision.
  • Effectively manage time to handle multiple projects while focusing on high-impact priorities.

Qualifications:

  • Strong belief in the mission and values of Brillante Academy.
  • Bilingual proficiency in English and Spanish.
  • Experience in a school or fast-paced office environment is highly preferred.
  • Team-oriented with excellent interpersonal and relationship-building skills.
  • Strong written and verbal communication abilities.
  • Exceptional organizational and time management skills.
  • Proficient in Microsoft Office and Google Suite.
