Key Responsibilities
  • Supervise and manage a team of administrative staff, providing guidance, training, and performance feedback to ensure optimal performance.
  • Develop and implement administrative goals and priorities, aligning with departmental objectives and ensuring compliance with policies and procedures.
  • Provide leadership and direction to ensure business office activities are executed efficiently and effectively.
  • Interpret and implement new directives, policies, and procedures, communicating changes to staff as needed.
  • Interview and hire staff for open positions within the business operation, under the supervision of leadership.
  • Proactively identify and address staffing needs, ensuring adequate resources to meet business demands.
  • Responsible for front desk operations, maintaining a constant focus on patient flow and staff activity during normal business hours.
  • Attend and lead daily huddles to improve service, discuss Service Standards, National Patient Safety Goals, and Environment of Care with staff.
  • Review patient satisfaction data, sharing insights with staff to drive process improvements.
  • Ensure strict adherence to the 20 TEC Service Standards, working with individual team members on Service coaching and monitoring for improvement.
  • Advocate and implement change within the department to improve efficiency and effectiveness of business or customer service, participating in or leading process improvement teams as needed.
  • Participate in the resolution of operating problems, leading meetings to address specific operational issues and develop recommendations and action plans.
  • Serve as a partner with other sections and administrative personnel to ensure clinic policies and practices are consistently implemented.
  • Research and compile information for reports and presentations, preparing reports for management as needed.
  • Analyze data to identify areas of progress and/or trends, drawing conclusions and developing recommendations for management consideration.
  • Utilize reporting tools to analyze and identify opportunities for section improvement, determining and recommending options for addressing budget issues.
  • Monitor submission of timely, accurate, and complete billing information to the business office to ensure maximum reimbursement for clinic services.
  • Coordinate the purchase of medical and office supplies as needed, establishing and maintaining an inventory system to ensure adequate levels of supplies and equipment.
Requirements
  • 5 years of related job experience, or bachelor's degree with 3 years of related experience. OR Graduation from the Operations Development Program (ODP).
  • Some jobs in this classification may require 1 year of supervisory experience.
  • Proficient with word processing, spreadsheet, and presentation software applications.
