Operations Supervisor Job Description Job Summary:The Operations Supervisor works hand in hand with the Operations Manager oversee the overall daily operations of the facility, ensuring that all staff and departments function efficiently and effectively. This role includes managing resources, coordinating schedules, overseeing inventory, and ensuring that the facility meets its performance goals. The Operations Supervisor will collaborate with the management team to maintain high standards of service delivery and organizational excellence. Key Responsibilities:
  • Staff and Schedule Management:
  • Coordinate and manage staff schedules, ensuring adequate coverage and adjusting staffing levels as needed.
  • Supervise and support other department heads to ensure that their teams are performing efficiently.
  • Oversee employee audits to assess workload distribution and assign additional tasks where necessary.
  • Lead and participate in meetings with staff and management to review performance, address issues, and plan for future needs.
  • Operational Oversight:
  • Conduct regular rounds of the facility to monitor operations, address issues, and ensure smooth workflows across all departments.
  • Manage the organization and cleanliness of common areas, including breakrooms, to maintain a professional and functional environment.
  • Handle all aspects of lab-related activities, including technician coverage and supply management.
  • Inventory and Resource Management:
  • Monitor and manage the inventory of clinical supplies, IV materials, vaccines, test kits, supplements, and office supplies.
  • Ensure timely ordering of all necessary supplies and manage relationships with vendors to maintain adequate stock levels.
  • Collaborate with the Clinical Manager to oversee vaccine inventory and ordering processes.
  • Administrative Duties:
  • Oversee the payroll process and ensure timely completion of all payments, including contractors.
  • Manage and track key performance metrics to identify areas of improvement and ensure the facility meets its operational goals.
  • Coordinate with the Marketing team to plan and execute monthly promotions and specials, adjusting focus according to seasonal needs.
  • Employee Relations and Development:
  • Oversee the hiring process, including prioritizing departmental needs and conducting interviews.
  • Manage the onboarding process for new employees, including training and orientation.
  • Conduct employee reviews at key intervals (90 days, 6 months, 1 year) and provide feedback to support staff development.
  • Address employee disciplinary issues as needed, including issuing write-ups and managing conflict resolution.
  • General Management and Communication:
  • Maintain regular communication with Director & CEO through updates and reports on operational status, challenges, and achievements.
  • Lead monthly and bi-monthly meetings with various departments to ensure alignment with organizational goals and address any operational challenges.
  • Manage special projects as needed, including updating training manuals and overseeing company-wide initiatives.
 
This role requires a proactive and organized individual with strong leadership skills, capable of managing multiple priorities and ensuring the smooth operation of the facility.
Qualifications:
  • 1-2 years of experience in medical office management 
  • Experience in insurance verification process including filing, billing and collecting 
  • Experience in HR-related tasks including effectively managing a team, hiring and payroll 
  • Excellent customer relations skills 
  • Warm and kind demeanor—keen to interact with children and families 
  • Basic understanding of Microsoft Office suite and an EMR system 
  • Highly organized, deadline-driven, focused, and punctual 
  • Ability to multi-task, juggle deadlines, project-manage, think outside the box and adapt to an ever-evolving environment 
  • Desire to manage and lead people
  • Ability to take constructive criticism and grow in management skills
  • Willing to do what it takes to get the job done--a can-do and positive spirit
  • Bachelor’s Degree in a related field of study, preferably business management, healthcare management
