The Patient Service Specialist undertakes intricate administrative responsibilities, which include but are not limited to patient registration, appointment scheduling, delivering exceptional customer service to clients, and managing a multi-line telephone system.

This role necessitates a fundamental understanding of various systems and/or procedures.

This position guarantees that every patient receives quality clinical care and is provided with a welcoming and respectful experience.


Responsibilities:
• Welcome patients and visitors

• Communicate wait times to patients and guide them accordingly

• Obtain necessary authorizations to facilitate patient services

• Check in patients utilizing the appropriate patient management system

• Clarify all required forms to patients and ensure accurate completion of all documentation

• Manage incoming phone lines and direct calls appropriately

• Contact patients for appointment reminders, rescheduling, or cancellations.

• Check out patients in the designated patient management system and distribute records

• Organize paperwork, medical records, and correspondence

• Maintain an inventory of office supplies and printed materials

• Oversee the distribution of all paperwork to external parties, including non-injury, custody, and control forms

• Adhere to HIPAA guidelines and safety protocols

• Attend center staff meetings

• Engage in initial and ongoing training as required

• Complete the processing of patient referrals, including accurate checkouts, documentation processing, patient education, and communication with the Client Support Group

• Assist the Center Operations Director or other leaders in managing daily administrative tasks

• Help maintain a tidy, clean, and organized environment throughout the facility

• Utilize employer reporting tools to scan and distribute employer results and documentation

• Review clinician transcriptions and enter applicable charges via the internal charge entry system.

• Perform some medical assistant duties such as breath alcohol tests, drug screenings, TB skin test readings, and/or other tasks as assigned/approved by medical leadership

Qualifications:

Education Level:
High School Diploma or GED

Job-Related Experience

6 months to 1 year

Working knowledge of state-specific occupational medicine requirements preferred

This position is eligible to earn a base compensation rate in the state range of $17.93 to $24.41 hourly depending on job-related factors as permitted by applicable law, such as level of experience, geographic location where the work is performed, and/or seniority.
