Position Overview: The Clayman Institute for Gender Research is in search of a Financial Operations Coordinator to manage the institute's financial and operational activities. This role encompasses processing financial transactions, overseeing budget management, handling grant and gift processing, and providing general administrative support. The ideal candidate will possess a proactive approach to process enhancement and a keen interest in acquiring knowledge about finance and operations.

This position is full-time and may offer a hybrid work arrangement, contingent upon operational requirements.

Key Responsibilities:

  • Act on behalf of supervisors in establishing priorities and resolving administrative challenges.
  • Oversee and process a variety of intricate financial transactions; generate, monitor, and reconcile budget statements; investigate and resolve discrepancies.
  • Manage financial transactions, including expense reimbursements, travel card verifications, and invoice payments.
  • Monitor the annual budget, develop accurate forecasts for the upcoming fiscal year, and ensure readiness for year-end close.
  • Create detailed reports and spreadsheets utilizing specialized software.
  • Provide monthly financial reports, including budget versus actual analyses and ad hoc reports as required.
  • Update labor schedules and manage labor distribution adjustments.
  • Contribute to the ongoing development and refinement of financial procedures and guidelines.
  • Coordinate routine maintenance services and manage office relocations or minor renovations.
  • Serve as the Department Property Administrator, ensuring compliance with space inventory regulations.
  • May supervise student or temporary staff, including workload prioritization and performance reviews.

Minimum Qualifications:

  • High school diploma with four years of relevant administrative experience, or a combination of education and experience.

Skills and Competencies:

  • Proficient in office software and email applications.
  • Demonstrated ability to complete projects effectively.
  • Exceptional organizational skills and attention to detail.
  • Strong verbal and written communication abilities.
  • Excellent customer service and interpersonal skills.
  • Capacity to prioritize tasks and delegate responsibilities.
