Position Overview
The Program Operations Coordinator within the Contract Compliance team in the Program department plays a crucial role in ensuring effective program execution. This position encompasses logistical management, documentation oversight, resource allocation, program organization, survey administration, and event assistance. The ideal candidate will exhibit exceptional organizational abilities, keen attention to detail, and proficient communication skills with both internal and external stakeholders.
Key Responsibilities
Logistical Management:
- Coordinate program schedules with relevant teams to ensure consistency.
- Develop and maintain program calendars, syllabi, and debriefing documents.
- Secure and arrange rental venues for program activities, ensuring suitable locations for events and classes.
- Assist program staff by inputting participant data into JVS's database, including enrollments, closures, training completions, educational achievements, and follow-ups.
- Conduct quality assurance checks on data entries to guarantee accuracy and adherence to organizational standards.
- Collect and safeguard confidential participant information related to eligibility and assist in the evaluation process.
- Prepare and maintain participant files for program monitoring and fiscal audits, ensuring compliance with contract stipulations.
- Support all aspects of contract management, including compliance, file organization, and data tracking.
- Create structured file systems for program documentation on SharePoint.
- Prepare JVS documents for electronic signature and ensure accurate completion.
- Confirm and reserve virtual classrooms for program use.
- Prepare orientation materials and establish user accounts for online platforms.
- Troubleshoot access issues for participants to facilitate smooth engagement with online resources.
- Order necessary program supplies and fulfill participant resource requests.
- Prepare and maintain program materials to support training and participant activities.
- Administer program surveys to collect feedback and evaluate participant satisfaction.
- Provide support for in-house and community events, ensuring successful execution and participation.
Minimum Qualifications:
- Strong verbal and written communication skills.
- Ability to support various programs and adapt as necessary to meet overall organizational needs.
- Excellent organizational skills with a strong focus on detail and the ability to meet deadlines.
- Collaborative mindset, working effectively with colleagues and participants to identify helpful resources.

- Demonstrated experience in providing high-volume administrative support in a fast-paced environment.
- Proficiency in Microsoft Office applications and CRM databases.
- Experience in direct service or participant support roles.
- Experience managing space and scheduling needs on a large scale, while balancing competing requirements.
- Familiarity with Salesforce, Microsoft Office, and Google products.
- Understanding of workforce development initiatives.
- Annual Salary: $56,000
