The ESL Program Coordinator will undertake various responsibilities, including the overall management of all classes at their designated site(s), whether conducted in-person or online. Key responsibilities include: enrolling new students and volunteers, overseeing numerous volunteers, and ensuring precise documentation of lesson plans and student attendance. The Coordinator will receive training in administering standardized assessments, utilizing databases, and navigating the ESL program registration process. They must be adept at observing fellow educators and providing constructive feedback while demonstrating effective teaching methodologies. Attendance at weekly staff meetings is required, and they will maintain a collaborative relationship with the Supervising ESL Program Coordinator and ESL Program Manager, who will provide support for any challenges encountered.

Core Responsibilities:

  • Supporting the ESL Program Manager and Supervising ESL Program Coordinator in managing student and volunteer records, assessments, and maintaining an inventory of educational materials and supplies.
  • Overseeing volunteers by orienting newcomers to the curriculum and resources, observing classes, offering regular feedback, and exemplifying effective teaching practices.
  • Collecting attendance sheets and lesson outlines.
  • Fostering positive, mutually beneficial partnerships with community organizations such as educational institutions and religious groups.
  • Creating and distributing promotional materials in English and other languages.
  • Responding to inquiries from prospective students and volunteers via phone and email.
  • Maintaining ongoing communication with enrolled ESL students and gathering feedback for program enhancement.
  • Accurately entering student attendance and assessment results in a timely manner.
  • Assisting program staff in organizing and delivering regular professional development sessions for volunteers.
  • Occasionally providing instruction in ESL classes.
Physical Requirements:

Activities include: Sitting, Standing, Walking, Speaking, and working at a desk on a computer.
  • Must be capable of lifting up to fifteen pounds occasionally.
  • Physical Demands: Primarily sedentary tasks involving non-strenuous daily administrative activities.
  1. Stand less than 33% of the time while on duty.
  2. Walk less than 33% of the time while on duty.
  3. Sit between 33% and 66% of the time while on duty.
  4. Utilize hands for fine manipulation over 66% of the time while on duty.
  5. Reach with hands or arms less than 33% of the time while on duty.
  6. Full ability to communicate verbally and audibly.
  7. Correctable vision is required.
  8. Able to lift/carry up to 10 lbs.
Minimum Educational and General Qualifications:
  • Excellent oral and written communication skills in English, with a willingness to engage with speakers of other languages. Bilingual candidates capable of performing tasks in Spanish/Arabic/Vietnamese are encouraged to apply:
  • Clarifying program details, class schedules, and enrollment options in person and over the phone.
  • Assisting students with registration forms.
  • Making general announcements and directing students to additional social services as necessary.
  • Participation in mandatory training sessions, including some evenings and weekends. Successful completion of professional development as required by funding sources, including both in-person and online training such as WorkReady U Instructor Certification Course and CASAS test administrator training.
  • Ability to pass a background check and drug screening as per organizational requirements.
  • Proficient computer skills (email, Word, Excel, Google Drive, Zoom, etc.).
  • Capacity to resolve issues swiftly while maintaining a positive demeanor in a dynamic environment.
  • Proven ability to work collaboratively as part of a team and independently.
  • Demonstrated ability to connect effectively with individuals from diverse ethnic and economic backgrounds.
  • Strong work ethic and dedication to the role.
  • Reliable transportation is necessary.
  • Attendance at mandatory orientation for new employees; completion of Safe Environment training as required by HR policy.
  • Willingness to work evenings and occasional weekends.
  • Other responsibilities as assigned.
