Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Penn State University. As a key member of our administrative staff, you will provide critical support to our academic and administrative units, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Provide exceptional customer service, responding to inquiries and resolving issues in a timely and professional manner.
  • Manage calendars, coordinate meetings, and prepare correspondence, reports, and other documents as needed.
  • Assist with budget maintenance, including processing reimbursements and maintaining accurate records.
  • Coordinate travel arrangements, schedule appointments, and perform other administrative tasks as required.
  • Compile and organize data, draft emails, and prepare meeting materials and reports.
  • Process payroll and human resources forms, and maintain accurate records.
  • Update and maintain work unit files and databases, and perform data entry as needed.
  • Attend meetings, record minutes, and distribute meeting materials.
  • Provide training and supervision to student and other support staff as needed.
Requirements
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum 1-2 years of administrative experience, preferably in an academic or administrative setting.
  • Excellent communication, organizational, and time management skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and handle sensitive information.

The following clearances must be successfully completed for this position: Pennsylvania State Police Criminal Background Check, Pennsylvania Child Abuse History, and Federal Bureau of Investigation (FBI) Criminal Background Check.
