Job Summary

We are seeking a highly organized and detail-oriented Administrative Associate to provide administrative support to the school Principal and/or administration. The successful candidate will be responsible for a variety of tasks, including general clerical, receptionist, and project-based work.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the Principal and/or administration, including reception and clerical duties, answering phone calls, and greeting visitors.
  • Calendar Management: Maintain the Principal's calendar, scheduling meetings, conferences, and events.
  • Correspondence and Documents: Prepare and edit correspondence, communications, presentations, and other documents.
  • Communication Distribution: Monitor, respond to, and distribute incoming communications, including informational flyers, newsletters, notices, staff memos, and other written material.
  • Data Collection and Maintenance: Compile data for meeting school, district, state, and federal requirements, including financial, legal, and administrative purposes.
  • Student Enrollment: Facilitate the student enrollment process, ensuring all required documents are submitted, and request records from previous schools as necessary.
  • Supply Management: Order, receive, store, and distribute supplies.
  • Filing and Record-Keeping: Maintain detailed filing systems.
  • Office Efficiency: Identify and report matters that may impact the efficient operation of the office.
  • Attendance and Substitute Management: Check the IPS Sub System daily for absences and substitutes.
Requirements
  • Education and Experience: High School diploma required; Associates degree or higher preferred. A minimum of three to five years of successful experience in an administrative support role.
  • Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos in English. Ability to write simple correspondence in English.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure and interpret graphs and charts.
  • Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions and deal with problems involving a few concrete variables in standardized situations.
Working Conditions

The employee must occasionally lift and/or move up to 10-20 pounds. Specific vision abilities required by this job include Close vision, Distance vision, and Peripheral vision. While performing the duties of this Job, the employee is regularly required to talk or hear. The employee is frequently required to sit and use hands to finger, handle, or feel. The employee is occasionally required to stand, walk, and stoop, kneel, crouch, or crawl.

The noise level in the work environment is usually moderate.
