Key Responsibilities:

• Work closely with Technician Supervisor and Operations team to schedule and dispatch technicians for jobs, ensuring timely completion and customer satisfaction.
• Handle customer inquiries and route technical questions to the appropriate resource, providing timely and accurate responses.
• Track time and attendance for technicians, ensuring accurate billing and payment processing.
• Coordinate job startups, maintain communication with customers, and follow up on jobs in progress or completed.
• Perform local office AP/AR functions, including invoicing and billing customers.
• Ensure timely close-out of all work orders and associated paperwork, including POs and other documents.
• Coordinate warranty administration and order parts, tracking shipments and maintaining inventory.
• Enter information into our Enterprise Resource System, including work orders, new customer information, and technician hours for billing purposes.
• Maintain OSHA logs and answer telephones, greeting customers and maintaining professional and courteous customer contact.
• Organize and coordinate inventory processes, ensuring accurate and efficient operations.
• Assist new hires with completion of new hire paperwork, complete employer required sections of forms, and send to Human Resources on the new employee's first day of employment.
• Gather local prevailing wage rate and send hours worked by technicians on applicable jobs to Human Resources.
• Provide initial notification of Workers Compensation claims to insurance carrier and maintain filing office equipment for the office.

Requirements:

• 2-year degree or related experience
• 5-7 years of related experience in Mechanical, Electrical, or Plumbing service field
• Working knowledge of Microsoft Office Suite
• Strong written and verbal communication skills
• Strong organization, problem-solving, and customer service skills
• Nice to have: Bachelor's degree may be considered in lieu of work experience, experience with Astea or any other service tracking software
