Job Summary

Key Responsibilities
  • Perform administrative duties with minimal supervision, demonstrating a high level of proficiency and attention to detail.
  • Act as a lead, assigning and prioritizing workflow, troubleshooting issues, and providing backup support for the Supervisor.
  • Provide guidance and assistance to colleagues to resolve complex issues and problems.
  • Assist with training and orienting new staff members, ensuring a smooth transition into their roles.
  • Act as a super user for scheduling, registration, and billing systems, providing training and assistance to others.
  • Perform more complex or specialized functions, such as surgical scheduling, at a high level of competency.
  • Assist with special projects as directed and follow HIPAA guidelines for patient privacy and confidentiality.
Requirements
  • High school diploma or GED required; post-high school education preferred.
  • Minimum one year of applicable work experience required.
  • Additional training in office systems preferred.
Skills and Abilities
  • Knowledge of practice operations and standards.
  • Understanding of procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to use phone systems, answer routine questions, and give routine information.
  • Ability to interpret information, answer routine questions, and communicate in a professional, courteous, clear, and concise manner.
  • Ability to manage work processes, sort and alphabetize, and manage multiple tasks effectively.
  • Ability to correspond and communicate with others clearly and effectively in writing.
  • Basic understanding of medical terminology, insurance types, and referral processes.
  • Knowledgeable and compliant with hospital, State, and Federal requirements, including policy and procedures with The Joint Commission and HIPAA.
Working Conditions

Hospital-based ambulatory practice with normal patient environments, some exposure to communicable diseases, unpleasant odors, needles, and blood products.

Hospital Wide Responsibilities

Works within legal, regulatory, accreditation, and ethical practice standards relevant to the position and as established by BWH/Partners; follows safe practices required for the position; complies with appropriate BWH and Partners policies and procedures; fulfills any training required by BWH and/or Partners, as appropriate; brings potential matters of non-compliance to the attention of the supervisor or other appropriate hospital staff.
