Position Overview for Grant Management Specialist
Provide comprehensive post-award financial analysis and support for grants and contracts received by the Research Foundation for SUNY at NY CREATES.
This role encompasses:
Ensuring precise and prompt review and approval of non-procurable expenditure requests within designated authority, adhering to all relevant federal, sponsor, Research Foundation regulations, and IRS stipulations.
Conducting accurate and timely review and approval of payment requests against Purchase Orders established by Purchasing Staff, in compliance with all applicable regulations and requirements.
Overseeing sub-recipient monitoring, including the receipt, review, and approval of invoices to guarantee compliance with federal, sponsor, and Research Foundation guidelines.
Reviewing and approving all labor distribution activities for Research Foundation payroll, making determinations on available funding and appropriateness of charges.
Ensuring all related labor distribution data entry is executed accurately and promptly.
Monitoring cost-sharing requirements and expenditures, collecting, reviewing, and documenting all acceptable cost-sharing and release time obligations in a timely and precise manner.
Coordinating account closeout processes as necessary, serving as a liaison with NY CREATES finance staff and other sponsored program administrative personnel.
Reviewing supporting documentation for all new and renewed grants and contracts to familiarize oneself with the portfolio of NY CREATES sponsored programs, including project subjects, budgets, timeframes, reporting requirements, expenditure restrictions, and any unique stipulations from the funding sponsor.
Ensuring accounts are established and maintained accurately and promptly in the business system, in compliance with all applicable RF, federal, and sponsor regulations, supported by appropriate documentation.
Utilizing the business system account structure and billing functionalities to enhance efficiencies and ensure compliance with reporting requirements.
Disseminating relevant account information to other sponsored programs administrative staff as appropriate.
Establishing and maintaining award and billing files, ensuring information is complete, organized, and compiled in a timely manner.
Qualifications:
Minimum Qualifications for Grant Management Specialist:
A Bachelor’s degree in business or a related field, along with two years of experience in a comparable role.
The capability to manage multiple priorities in a dynamic environment, possessing strong organizational and communication skills, with the ability and willingness to make independent decisions.
Proficiency in Microsoft Office or an equivalent software suite.
This position is contingent upon the successful completion of a background check; annual background checks may be required.
