The ideal candidate will be responsible for executing project specifications while thoroughly analyzing and assessing all organizational practices that influence the client’s experience. This role involves managing all customer projects and acting as a liaison between various departments within The Trade Group. Recommendations for enhancing client service methods will be presented to the leadership team, ensuring the highest standards of service delivery. Gathering client feedback and collaborating with all departments will be essential to refine the client experience and share best practices for future endeavors. Additionally, this position supports the leadership team and company goals by training Account Managers for ongoing development and assisting in sales efforts.

ESSENTIAL FUNCTIONS:

  • Oversee the complete management of projects, from design consultation to fabrication oversight and final budget reconciliation.
  • Exhibit flexibility and a willingness to assist in all job facets.

  • Commit to delivering an exceptional overall experience for clients, from customer service to the final deliverables.
  • Ensure client satisfaction concerning large-scale projects, which may involve existing Exhibit Management Program clients as well as new sales and rental initiatives.
  • Engage in Design and Engineering meetings to stay informed about upcoming projects and provide valuable input and suggestions.
  • Identify and prioritize issues that impede communication with both internal and external clients.
  • Handle standard metal or wood-based tradeshow exhibits, along with occasional permanent installations, interior graphics, or outdoor events.
  • Conduct meetings with Estimating, Engineering, and Production teams to establish timelines and collaborate with purchasing for materials.
  • Regularly update the ERP system with information regarding sales lines, BOMs (Bill of Materials), shipment orders, and production documents.
  • Occasionally perform site visits or supervise selected tradeshows.
  • Initiate job tracking, project management, and cost analysis post-sale and/or project completion.
  • Adjust timelines with clients and promptly communicate any new or revised schedules as necessary.
  • Monitor project timelines with internal and external vendors, confirming schedules for preview dates and times.
  • Attend client previews, follow up on projects, reconcile each project upon return from the show, and ensure the sale is closed.
  • Establish a workflow outline to guarantee coordination between Sales and all necessary departments, ensuring timely completion of new projects within client deadlines.
  • Run weekly open order reports and maintain current monthly closing records.
  • Review and validate sales agreements and supporting documents, including quotes, timelines, color approvals, and deposits, ensuring accurate information is captured in NAVISION.
  • Process orders by converting Sales Agreements into Sales Orders and issuing Work Orders for drawings and setup instructions as required.
  • Generate all shipment orders.
  • Distribute accurate orders to the appropriate vendor or department.
  • Initiate and confirm the collection of the project balance prior to shipping.
  • Verify vendor quotes, orders, pricing, and shipping details.
  • Ensure quotes are sourced from approved vendors and apply necessary markups for resale.
  • Distribute accurate purchase orders to the correct vendors.
  • Collect order confirmations from vendors, including pricing, delivery dates, colors, quantities, and shipping details.
  • Assist in researching and purchasing raw materials as needed.
  • Support current inventory counts of raw materials to meet project demands.
  • Assist the sales team in the presentation and execution of events.
  • Perform other assigned duties as necessary.
  • Ability to thrive in a fast-paced and rapidly changing environment.
  • Additional duties as assigned.

REQUIRED EDUCATION AND EXPERIENCE:

  • 5+ years of experience in event management.
  • An Associate's or Bachelor's Degree or equivalent experience in the event industry.
  • Significant event management experience, including budgeting, fabrication, and oversight of reconciliations.
  • Proficiency in AutoCAD, Adobe Suite, and/or any 3D modeling software.
  • Familiarity with MS Office programs (Word, PowerPoint, etc.) or equivalent software.
  • Exceptional communication, creativity, and strategic thinking abilities.
  • Capability to devise solutions for diverse project scenarios and collaborate effectively with others.
  • Proactive attitude in all situations.
  • Ability to assess and manage the procurement of necessary raw materials and the outsourcing of customized components.
  • Research new materials and identify those suitable for specific projects while balancing performance and budget considerations.
  • This position requires strong clerical and administrative skills, with an emphasis on verbal and written communication skills (in English), sound judgment, a positive attitude, initiative, and the ability to maintain confidentiality.
  • Ability to work accurately and efficiently under company deadlines.
