Position Summary:

Our organization is seeking a dedicated Surgical Appointment Coordinator to support our specialized team of Head & Neck Cancer Surgeons. This role is pivotal in managing the scheduling of surgical procedures and coordinating with multiple physician schedulers.

The Surgical Appointment Coordinator will engage in extensive collaboration with clinical staff and healthcare facilities to ensure seamless operation. This position requires adept management of the surgeons' calendars, as they are only present in the office one day per week, spending the remaining days in the operating room.

Key responsibilities include:

  • Posting surgical cases in the relevant systems, specifically utilizing EPIC and Allscripts for documentation.
  • Handling prior authorizations for surgical procedures and maintaining direct communication with patients to gather necessary information.
  • Fielding clinical inquiries from patients regarding pre-operative and post-operative expectations, directing them to clinical staff as needed.
  • Executing various administrative tasks, which involve significant coordination and communication via text, phone, and email with physicians and other staff members.
  • Assisting patients in scheduling their surgeries, often immediately following their consultations, while collaborating closely with Medical Assistants.
