ROLE SUMMARY:

This position is essential for ensuring the efficient operation of the Audiology Clinic. The role involves delivering exceptional customer service to patients by managing phone communications, scheduling appointments, welcoming and checking in patients, maintaining electronic medical records, and executing various administrative tasks as needed.

KEY RESPONSIBILITIES:

  • Manage incoming calls with professionalism and courtesy.
  • Coordinate appointment scheduling for multiple audiologists and confirm next-day appointments.
  • Input patient demographic data accurately into the system.
  • Conduct insurance verification both verbally and online.
  • Facilitate patient check-ins, including copying insurance cards, collecting co-pays, and verifying referrals and medical releases.
  • Prepare patient charts and necessary documentation for appointments.
  • Send reports to patients in a timely manner.
  • Communicate with patients' medical providers as required.
  • Handle private pay transactions, including invoicing and receipt generation.
  • Maintain a tidy front office environment, including organizing magazines and toys.
  • Ensure accurate and current patient records and referring physician databases.
  • Package and ship materials to manufacturers as needed.
  • Perform additional clerical and office support tasks as assigned.
  • Uphold quality and customer service standards set by the Audiology Clinic and The Learning Center for the Deaf.

QUALIFICATIONS:

  • Exceptional customer service skills to ensure a welcoming atmosphere for patients.
  • Professional phone etiquette.
  • Ability to work both independently and collaboratively.
  • Strong attention to detail and accuracy.
  • Organized, flexible, and eager to learn.
  • Excellent communication skills, both verbal and written.
  • Proficient in using office equipment, including fax machines, telephones, copiers, scanners, and computers (knowledge of Word, Excel, and Quickbooks is a plus).
  • Familiarity with insurance billing, co-pays, and deductibles is preferred but not mandatory.
  • Commitment to maintaining patient confidentiality.
  • Adherence to HIPAA regulations and departmental policies.
  • Experience with Audiology Software and/or Medical Records Software is advantageous.
  • Willingness to learn American Sign Language is a plus.

PHYSICAL DEMANDS:

The role requires the ability to perform various physical tasks, including lifting up to 25 pounds, bending, reaching overhead, climbing stairs, and prolonged periods of standing or sitting.
