Job Description:
The Coordinator of Procurement plays a pivotal role in the department as the Certified Purchasing Agent. This position encompasses the daily procurement operations, including the solicitation of quotes for supplies and equipment exceeding $1,000. The individual ensures the proper receipt of all non-Punchout Supplier goods and services.
Key Responsibilities
60% PROCUREMENT: Acts as the departmental Certified Purchasing Agent, overseeing daily procurement activities, master contracts, term contracts, and the solicitation of quotes for services, supplies, and equipment over $1,000. Ensures compliance with State and University purchasing guidelines, assisting faculty, students, and staff with procurement processes by completing necessary forms, providing advice, and resolving issues. Responsible for all non-travel/event related direct charge transactions and honorariums. Places orders for all LaCarte card purchases exceeding $1,000 for the department.
Maintains procurement-related paper files in accordance with the University's file retention schedule. Updates the paper equipment inventory file by purging files when assets are transferred to LSU Surplus. Keeps a procurement log to track transactions and updates the status as necessary. Directs all procurement-related communication through the designated email address.
30% ACCOUNTING: Processes all receiving reports for non-punchout supplier transactions, confirming the receipt of orders, including gases, nitrogen, and dry ice. Creates receipts in Workday by reviewing packing slips and receiving reports. Reconciles the Aged Listing of Outstanding Encumbrances monthly for all non-punchout supplier purchases, ensuring timely processing of receipts or liquidations, with particular attention at year-end. Communicates with LSU Procurement and suppliers regarding outstanding invoices, cancellations, liquidations, and issues related to non-punchout supplier transactions.
10% OTHER: Contributes to the overall functions of the Business Office through cross-training and support of other positions, as well as other duties assigned by the Assistant to the Chair.
Minimum Qualifications
- Bachelor's degree
- 1-year related experience
- Certified Purchasing Agent - annual certification required
- Accounts Payable experience
- Experience in a university setting.
Physical ability and eye-hand coordination necessary to use a computer/laptop/iPad; ability to sit and/or stand in the same position for extended periods (3.5 to 4 hours) at a time. Ability to communicate clearly and effectively through various technology platforms including phone, e-mail, instant messaging (ex. Teams), virtual platforms (ex. Zoom), and direct contact with individuals.
