Job Summary

HarbourVest is seeking a highly organized and self-directed Executive Assistant to support the Investor & Consultant Relations team. The ideal candidate will have excellent communication skills, proficiency in Microsoft Office Suite, and experience with CRM and marketing tools.

Key Responsibilities
  • Manage calendars for Account Managers, including conflict resolution and calibration.
  • Book travel arrangements, manage last-minute changes, and add travel details to calendars.
  • Prepare expense reports and partner with other Executive Administrative staff to align expenses with colleagues.
  • Schedule meetings, conference calls, and book conference rooms as needed.
  • Respond to email and phone inquiries in a timely manner, fielding requests and questions from internal and external constituents.
  • Become proficient in using sales technology to prepare meeting materials and log client updates and communications.
  • Compose documents, communications, and presentation materials.
  • Manage bi-weekly Consultant Relations team meeting agenda.
  • Provide coverage for other Investor Relations EAs as requested.
Requirements
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).
  • Excellent organization and time management skills.
  • Demonstrated ability in coordinating travel.
  • Strong attention to detail.
  • Prior experience with CRM and marketing tools (e.g. Salesforce, Seismic) preferred but not required.
Preferred Qualifications
  • B.S/B.A or equivalent experience.
Experience
  • 5-8 years of administrative experience in Investment Management or Financial Services preferred.
