Role Summary:
As a Client Relations Coordinator, you will deliver exceptional customer service experiences that enhance client satisfaction, loyalty, and retention. Your role will involve consistently meeting or exceeding established performance standards, ensuring all client orders are processed smoothly to maintain an uninterrupted customer experience and revenue flow.
Key Responsibilities:
- Verify order confirmations for precision. Collaborate directly with the account manager, clients, or suppliers to rectify any missing or incorrect order details, which may include but are not limited to artwork and approvals, payment methods, production timelines, and inventory status.
- Promptly approve all vendor proofs to ensure alignment with the authorized customer proofs. Verify all order elements, including imprint areas, colors, product SKUs, delivery dates, and quantities.
- Manage necessary order modifications in the system due to vendor-related issues and proactively communicate with the account manager to resolve production and delivery concerns, delivery issues, artwork/printing challenges, and order status updates.
- Build robust relationships with account managers, clients, and suppliers to foster trust in managing all aspects of the order process.
- Utilize the system to ensure timely delivery and notify the account manager or client of any potential delays.
- Document notes within the records system and update order statuses as required.
- Identify and engage with clients to offer product alternatives for orders affected by stock issues, ensuring alternatives closely match the original specifications in terms of color, cost, delivery time, and imprint method.
- Communicate promptly with clients regarding any changes to their orders and document these changes in the order notes.
- Adhere to all customer service standards, including timely call responses and email replies, to exceed client expectations.
- Provide accurate shipping estimates.
- Perform any other related duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Proficient in Microsoft Excel, Word, and Outlook.
Experience:
- One to two years of experience in customer service, sales support, or administrative roles.
Skills and Competencies:
- Positive demeanor.
- Exceptional attention to detail.
- Highly organized.
- Strong numerical skills.
- Effective verbal and written communication abilities.
- Adaptability to various work challenges that may arise throughout the day.
Physical and Mental Requirements:
- Prolonged periods of sitting at a desk or computer.
- Typing and using a computer keyboard for extended durations.
- Answering phone calls and communicating with clients via email.
Certification Requirement:
- Achievement of industry certification at the CAS (Certified Advertising Specialist) level.
