Position Summary:The Support Clerk position is a non-exempt role that operates under the general supervision of the Operations Manager or their designated representative. This role encompasses a range of clerical and administrative responsibilities, including file management, record keeping, report generation, and communication with consumers and care providers.
Key Responsibilities:- Provide comprehensive administrative assistance to the organization as directed by the Operations Manager or their representative.
- Ensure adherence to all departmental and organizational protocols, including coordinating pre/post-employment assessments and training sessions.
- Handle the transcription, recording, faxing, and filing of documents.
- Direct incoming mail and email inquiries to the appropriate departments for resolution.
- Assist in obtaining and distributing materials to consumers and care providers as necessary; update agency software and documentation as instructed.
- Act as a liaison for consumers and care providers, offering information, following up on compliance documents, and addressing any arising issues.
- Manage confidential information in accordance with established retention schedules, maintaining strict confidentiality.
- Regularly review and maintain departmental files, ensuring proper storage and accessibility.
- Prepare, compile, and disseminate reports while maintaining designated reporting databases.
- Organize care provider and consumer folders as required.
- Sort and manage original timecards at the end of each pay period, forwarding them to the Billing Department.
- Track departmental changes by developing a calendar and maintaining an updated census of consumers and care providers.
- Maintain ongoing communication with human resources, operations, and respite services departments.
- Assist in preparing monthly supply requests for the department.
- Participate in meetings, training sessions, and seminars relevant to the functional unit.
- Exhibit a commitment to providing excellent customer service and accurate information.
- Support other administrative functions within the organization as needed.
- Assist with quarterly meetings for care providers when required.
- Attend vendor meetings and recruitment events as necessary.
- Serve as a backup for the front desk or reception area.
- Contribute to departmental projects as needed.
- Attend all mandatory meetings punctually.
- Occasionally assist with COVID testing for care providers.
- High school diploma or equivalent (GED) with a minimum of six months of office or clerical support experience.
- Proficient in reading, writing, and communicating effectively in English; bilingual in Spanish is preferred.
- Typing speed of at least 30 words per minute and basic arithmetic skills.
- Familiarity with developmental services and related practices.
- Strong attention to detail and a commitment to customer service excellence.
- Exceptional organizational, time management, and problem-solving abilities.
- Proficient in MS Office Suite (Excel, Outlook, PowerPoint, Word, Teams) and cloud-based e-signature platforms.
- Ability to operate standard office equipment, including computers, calculators, copiers, and fax machines.
- Experience with video conferencing and online communication platforms.
- Possession of a valid California Driver's License.
