Job Overview

FINANCIAL OPERATIONS SPECIALIST

ALTA IT Services is seeking a dedicated Financial Operations Specialist to join a healthcare-focused non-profit organization. This role will provide essential financial administrative support to the organization's affiliate accounting firm. This full-time, exempt position will report directly to the CEO and will offer a hybrid work model, requiring in-office attendance at least three days per week. The primary duties will be conducted at the organization's headquarters.

SALARY RANGE: $70,000 to $73,000 annually, plus benefits.

Location: Hybrid work model available
Experience in non-profit settings is preferred.

All candidates must be fully vaccinated against COVID-19, with exemptions available for documented medical or religious reasons.

KEY RESPONSIBILITIES:

Accounting Functions (90% of the role):

  • Provide training to staff on accounting practices and facilitate periodic educational sessions during staff meetings.
  • Monitor incoming checks received via mail and ensure proper processing for deposit.
  • Assist the external accounting firm with managing accounts receivable and accounts payable.
  • Support the external accounting firm in collecting W-9 forms, processing 1099s, and tracking outstanding payments.
  • Review monthly credit card statements, gather general ledger codes from staff, and submit for payment processing.
  • Oversee the coordination of volunteer payments, including honoraria and expense reimbursements.
  • Manage daily lockbox transactions from the bank and provide monthly reconciliation reports to the external accounting firm.
  • Act as a backup for payroll processing on a bi-weekly basis.
  • Review vendor invoices for accuracy and prepare them for payment.
  • Assist the CEO and Deputy CEO in managing the annual budgeting process.
  • Coordinate annual audit activities with staff and oversee the 990 filing process.
  • Perform additional duties as assigned by the CEO and Deputy CEO.

Other Responsibilities:
General Administrative Support (10% of the role):

  • Contribute to the organization by participating in staff meetings, engaging in task forces, pursuing professional development opportunities, and collaborating with team members.
  • Assist with various projects and tasks as required.

MINIMUM QUALIFICATIONS:

  • Education: A Bachelor's degree is required; CPA designation is preferred.
  • Experience: A minimum of five years of experience in a Financial Operations Specialist role, ideally within a non-profit or association environment.
