Job Overview

CareWell Urgent Care is in search of a reliable full-time Patient Registration Specialist for our urgent care facilities. The successful candidate will embody a friendly demeanor and possess exceptional communication skills, thriving in a dynamic environment. As the initial point of contact for our patients, the primary objective is to create a professional and welcoming atmosphere while efficiently and accurately recording patient information.

Operational Hours: Our centers operate seven days a week from 8 AM to 8 PM. Full-time schedules consist of three-hour shifts, including every other weekend.

Key Responsibilities:

The Patient Registration Specialist will:

  • Welcome patients warmly and assist them as needed.
  • Collect and verify demographic and insurance details for all patients.
  • Utilize the computer system to generate fee slips and ensure accuracy.
  • Provide necessary forms for patient completion and ensure all fields are filled correctly.
  • Keep patients informed about their account status.
  • Notify clinical staff when patients are ready for consultation.
  • Process payments, including insurance co-pays.
  • Coordinate patient care and records across different clinic locations when required.
  • Gather reports from referrals and prior authorizations.
  • Maintain familiarity with all locations, hours, and directions.
  • Answer phone calls and relay messages to appropriate staff.
  • Perform administrative tasks such as photocopying and filing.
  • Maintain logs of daily activities, including patient counts and financial transactions.
  • Audit and balance financial transactions to ensure accuracy.
  • Distribute mail and manage office supplies to support smooth operations.
  • Provide supportive teamwork across all departments.
Qualifications:

The ideal candidate will possess:

  • A high school diploma or equivalent.
  • 1-3 years of customer service experience in a medical or retail setting.
  • Proficiency in MS Office applications, including Word and Excel.
  • Familiarity with medical software is preferred but not mandatory.
Work Environment:

This position is situated in a medical office setting, which may involve exposure to various health-related conditions.

Physical Requirements:

The role requires extensive computer use and may involve prolonged sitting. The candidate should be prepared for occasional stress due to public interaction in a medical environment.
