- Monitor key performance indicators (KPIs) and metrics to track progress, identify areas for improvement, and drive operational excellence.
- Contribute to the development and implementation of the annual business plan, aligning operational activities with strategic objectives.
- Develop and implement efficient workflows and processes to enhance productivity, streamline workflows, and reduce costs.
- Establish and maintain strong relationships with internal stakeholders, fostering open communication and collaboration across departments.
- Take charge of setting up and maintaining projects in the project management software system, including managing billing schedules and coordinating with finance for any queries.
- Create Standard Operating Procedures (SOP), collaborating closely with the team to develop and implement effective procedures.
- Organize and lead weekly meetings for the Operations and Senior Leadership team, ensuring all relevant topics are covered and agendas are well-prepared.
- Thoroughly review employee time reports for accuracy and completeness, identify areas of concern, then report to the Senior Leadership team.
- Coordinate and oversee the contract renewal process with clients and vendors.
- Analyze financials and prepare reports for weekly finance meetings, including variance analysis and identifying action items.
- Ensure accurate revenue recognition and prepare detailed monthly dashboard reports, including time reports, P&L analysis, AR reports, variance reports, and fixed vs. variable analysis.
- Lead special projects and initiatives as assigned, leveraging cross-functional teams to achieve desired outcomes.
- Bachelor's degree or equivalent experience in business administration required.
- Proven experience in operations, business, and/or project management.
- Strong verbal and written communication skills.
- Proven organizational skills and impeccable attention to detail.
- Excellent time management skills with proven ability to meet deadlines.
- A high degree of professionalism in dealing with varied groups of people, including all levels of employees and management, clients, and vendors.
- Strong analytical and problem-solving skills.
- Ability to make appropriate, informed decisions regarding priorities and available time.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround, and to switch gears at a moment's notice.
- Self-directed, goal-oriented and flexible with the ability to work in a fast-paced and at times challenging environment.
- Possess a positive, team-player, "Whatever It Takes" attitude.
- A high level of proficiency with MS Office Suite - Intermediate to advanced level user of Microsoft PowerPoint, Excel, and Word.
- Familiarity with financial analysis and reporting.
- Previous experience in an agency setting is a plus but not required.
- Previous experience working within a business services provider offering project and recurring services preferred.
