STATUS: Full-Time, 40 hours per week, Non-Exempt

ABOUT SAFE PLACE FOR YOUTH:

Safe Place for Youth (SPY) is a premier service provider dedicated to assisting youth who are experiencing or at risk of homelessness in West Los Angeles. Established in 2011, our organization delivers trauma-informed, accessible programs aimed at helping young individuals transition from homelessness to stability, enabling them to thrive.

Our comprehensive range of services includes street outreach, drop-in support, health and wellness initiatives, case management, educational and employment resources, and housing assistance. SPY is committed to dismantling structural barriers to equity and fostering community collaboration through innovative, youth-centered programming.

ROLE SUMMARY:

The Safety and Operations Specialist will work closely with the Operations Director to provide essential administrative support to the operations team. This role encompasses a variety of tasks, including calendar management, procurement processes, communication with staff and external partners, and event planning. Success in this position requires strong organizational skills, effective time management, and the ability to work independently.

KEY RESPONSIBILITIES:

  • Assist the Operations Director with a diverse array of administrative functions.
  • Establish, maintain, and enhance internal processes that facilitate the operations team’s workflow.
  • Oversee the general communication channels, ensuring timely and accurate information flow.
  • Manage the director's correspondence and scheduling, including meetings and events.
  • Handle incoming mail and ensure proper distribution.
  • Conduct various assignments, both on-site and off-site, including procurement activities.
  • Prepare meeting agendas, materials, and minutes.
  • Draft contracts and agreements for approval.
  • Create and refine presentations using PowerPoint.
  • Monitor and manage budgetary expenditures, providing regular reports and liaising with the finance department.
  • Maintain accurate records of expenses and assist in account reconciliation.
  • Support the HR department with administrative tasks as required.
  • Perform general administrative duties such as data entry, filing, and document management.
  • Assist with safety protocols, including site inspections and compliance tracking.
  • Manage multiple projects simultaneously, prioritizing tasks effectively.
  • Uphold confidentiality and professionalism in all communications and documentation.
  • Other duties as assigned to further the mission of the organization.

QUALIFICATIONS:

  • High school diploma or GED is required; a bachelor’s degree in a related field is preferred.
  • 1-2 years of experience in administrative roles is essential.
  • Proficiency in creating documents, presentations, and spreadsheets is required.
  • Experience in budget tracking and financial reporting is necessary.
  • Prior experience in a safety or operations role is advantageous.
  • Strong integrity, discretion, and confidentiality are critical.
  • Ability to foster effective working relationships with colleagues and stakeholders.
  • Proficient in Microsoft Office Suite and Google Workspace; familiarity with project management tools is a plus.
  • Excellent organizational, analytical, and communication skills.
  • Self-motivated with strong leadership capabilities.

WORK ENVIRONMENT:

  • Primarily office-based with occasional outdoor assignments.
  • Ability to lift up to 15-20 pounds as needed.
