Overview:

The Client Relations Specialist (CRS) serves as the main point of contact for customers, managing daily account activities and order processing for designated accounts and territories. This role encompasses inside sales tasks such as providing quotes, processing orders accurately, and overseeing the entire order management cycle. The CRS will liaise and collaborate with various internal departments including Purchasing, Finance, Compliance, and Shipping to address issues and ensure effective order fulfillment, adherence to company protocols, and compliance with international laws and regulations. Exceptional customer service is paramount, achieved through clear communication of customer needs, timely updates on order status, and effective internal coordination to guarantee on-time delivery.

Key Responsibilities:
  • Act as the primary contact for customers within assigned accounts and territories.
  • Oversee order management and resolve any issues related to customer or sales orders.
  • Manage the process from obtaining Requests for Quotation (RFQs) to securing awards.
  • Handle all RFQ, tender, and quotation activities with diligent follow-up.
  • Prepare compliant bids by the specified customer deadlines.
  • Draft responses to requests for proposals and bid documentation.
  • Address warranty inquiries for assigned accounts and territories.
  • Input new customer and sales data into the customer database.
  • Review and process complex customer orders, requiring strong decision-making and prioritization skills.
  • Analyze ERP reports to identify potential issues affecting timely order execution.
  • Train team members on ERP system functionalities related to the above responsibilities.
  • Coordinate with internal departments to ensure seamless order fulfillment.
  • Collaborate with OEM Business Managers regarding daily activities to support customer quote processes.
  • Facilitate purchasing activities and work with Buyers to expedite processes.
  • Gather credit reference information for new customers as necessary.
  • Manage payment transactions from customers.
  • Ensure compliance with export regulations for international shipments.
  • Investigate and resolve customer issues related to deliveries and discrepancies in purchase orders.
  • Participate in cross-functional teams aimed at continuous process improvement.
  • Maintain customer relationships to foster repeat business opportunities.
  • Understand the procurement systems of assigned accounts and territories.
  • Manage the sales pipeline and provide regular updates to leadership.
  • Coordinate sales orders and related activities with the sales order flow process.
  • Ensure effective execution of sales strategies.
  • Assist in preparing customer presentations.
  • Support the organization of customer visits and trade shows.
  • Comply with AS9120 and ISO9001 standards in all functions.

  • SalesForce CRM experience is advantageous.
Language Proficiency:
  • Fluency in English is required.
  • Additional foreign language skills are a plus.
  • Ability to read, analyze, and interpret general business information.
  • Capability to write reports, business correspondence, and procedural manuals.
  • Ability to effectively present information and respond to inquiries from groups of managers.
Mathematical Skills:
  • Average to above-average mathematical skills.
