Key Responsibilities:
Initial Engagement:
- Ensure adherence to Harmony Senior Services standards for building presentation, including daily readiness for tours.
- Design and maintain a model room following established protocols.
- Train staff to create optimal first impressions for residents, families, and potential clients, including telephone etiquette training.
Strategic Marketing Development:
- Collaborate with the marketing team to create a quarterly marketing strategy that aligns with corporate guidelines.
- Timely completion of all marketing documentation and reports.
- Facilitate internal marketing discussions.
- Personally manage all inquiries when present in the community.
- Provide training for staff on handling inquiries via phone and in person, adhering to corporate standards.
- Ensure leadership availability for inquiries and tours in the absence of the Sales and Marketing Executive.
- Deliver customer service training during new hire orientation and annually for all staff.
- Encourage the promotion of relevant sales enhancements.
- Utilize feedback from the Mystery Shopping Program to refine inquiry handling processes.
Lead Management and Follow-Up:
- Utilize a lead tracking system to record all interactions with potential clients.
- Respond to inquiries promptly, ideally within one business day.
- Assess needs, obstacles, and subsequent steps for each inquiry.
- Generate necessary reports regarding marketing activities using the lead tracking system.
Referral Growth:
- Conduct external marketing outreach as per corporate scheduling and based on occupancy levels.
- Document outreach efforts in the lead tracking system.
- Follow up on all external communications.
- Organize community events as per a predetermined schedule.
- Establish and nurture relationships with senior care support groups.
- Promote the community as a venue for local gatherings.
- Engage in networking groups at least once a week to build community relationships.
- Act as an educational representative on aging and health matters.
- Encourage resident referrals through incentives and welcome events.
Onboarding Process:
- Collect and review all necessary admission documentation with residents and families, ensuring completeness and distribution to relevant department heads.
- Oversee the onboarding process to ensure all department heads meet and welcome new residents within 48 hours of their arrival.
- Confirm that each apartment is prepared for move-in using the room readiness checklist.
Transition Process:
- Build relationships with local skilled nursing facilities to facilitate smooth discharge planning when required.
Resident and Family Engagement:
- Address all resident and family inquiries promptly.
- Participate in resident and family feedback processes and address any concerns raised.
- Organize family-oriented events in line with corporate guidelines, collaborating with the marketing team.
- Develop an active Respite Program.
- Visit residents during hospital stays.
Media Engagement:
- Serve as a community representative for local media, ensuring compliance with the Media Relations Policy.
- Foster positive relationships with local media to enhance community visibility.
- Perform additional duties as assigned.
Qualifications:
- High School Diploma or GED required; Bachelor's degree preferred or equivalent experience.
- A minimum of three years' experience in a marketing director role within senior care.
- Proven ability to increase occupancy rates.
- Strong analytical skills to develop and implement effective marketing strategies.
- Excellent organizational skills with the ability to manage multiple projects and meet deadlines.
- Ability to cultivate relationships with prospective clients, families, community resources, and the management team.
- Strong verbal and written communication skills, with proficiency in relevant computer applications.
- Flexibility to work varied hours based on business needs, including evenings and weekends.
- Ability to lift, carry, and push up to 25 lbs.
