POSITION SUMMARY: This role is pivotal in providing support to commercial lenders through documentation management, portfolio oversight, customer assistance, and various other responsibilities as assigned.

KEY RESPONSIBILITIES:

Documentation Assistance for Commercial Loans: Collaborate with commercial lenders to facilitate closings, gather and organize necessary loan documents and files to comply with commercial lending standards. Work in tandem with Commercial Loan Processors (CLP) to streamline loan closings. Ensure all documents are collected, duly signed, and follow up on any outstanding documents to secure the bank's collateral and legal interests. Scrutinize loan documents for precision, completeness, and compliance with approval criteria. Prepare and submit loan packages to CLP for integration into the Core System.

Management of Commercial Loan Portfolios: Partner with commercial lenders to ensure all credit and legal files are comprehensive and well-maintained. Send follow-up correspondence to clients regarding overdue financial statements, rectify documentation discrepancies, and verify insurance coverage (both ongoing and prior to closings). Draft term sheets and, when necessary, commitment letters based on credit offerings. Assist Commercial Banking Officers with research as required. Procure UCC searches, certificates of good standing, credit reports, and other necessary documents.

Independently resolve less complex issues. Adhere to quality control protocols to validate records during research. Assess optimal solutions while considering bank policies, regulatory obligations, customer impact, and bank interests.

Refer complex issues or unusual circumstances to the designated lender or Regional Vice President as appropriate.
  • Ensure compliance with all Federal and State banking regulations, as well as bank and departmental policies and procedures.
  • Achieve or surpass established performance objectives and standards for the Commercial Loan Administrator role.
Customer Support and Research for Commercial Lenders: Provide administrative assistance to Commercial Banking Officers as needed, in accordance with established bank policies and procedures. This includes filing, processing payments or crediting accounts upon request, managing various loan payments, fees, and payoffs, handling construction loan advances, and conducting necessary research.

Respond to inquiries from customers, attorneys, accountants, insurance representatives, and real estate agents as needed. Deliver prompt and courteous service to clients. Direct potential customers to loan officers or other bank personnel as suitable; escalate issues and complaints to the Regional Vice President when necessary.

Additional Loan Processing Responsibilities: Assist with other loan processing and administrative tasks as required to accommodate customer or departmental workload demands.

Support for Bank Products and Services: Maintain an up-to-date understanding of current bank products and services. Actively engage with a variety of bank offerings to fully grasp their features and benefits, enabling effective communication with clients and prospective clients.

Engage with customers to identify their needs through attentive listening; respond to inquiries and assess their requirements; recommend bank products and services that align with their needs; make referrals to other bank personnel as appropriate.

Community Engagement: Actively participate in community organizations and events, representing the bank within the community.

Other Responsibilities: Exhibit reliable attendance and punctuality. Manage telephone inquiries and provide information to customers, vendors, and other departments in a professional and courteous manner. Acquire necessary information and influence others tactfully without direct authority. Attend and engage in all bank and departmental meetings. Participate in internal and external training to enhance skills and knowledge pertinent to the Commercial Loan Administrator position. Complete all annual compliance training promptly. Attend seminars and educational sessions on commercial loan documentation and legal matters.

Requirements

EDUCATION/EXPERIENCE REQUIRED:
  • High school diploma; college degree preferred.
  • 2-4 years of relevant banking experience; experience in commercial lending is advantageous.
  • Exceptional customer service skills.
  • Proficient in computer applications, particularly Microsoft Word and Excel; familiarity with loan processing systems is desirable.
OTHER REQUIREMENTS:
  • Ability to lift files and documents weighing approximately 20 pounds.
  • Capacity to read and work with printed reports.
  • Ability to stand or sit for extended periods.
  • Capability to spend prolonged periods working on a computer.
  • Proficient in telephone communication; must communicate clearly and possess good listening skills.
