Position Title: Procurement Coordinator
Department: Distribution Center Operations
Reports to: Food Procurement Manager
Status: Full-time, hourly, non-exempt

Position Summary
Foodlink manages over 20 million pounds of food annually. The Procurement Coordinator (PC) is tasked with nurturing partnerships with New York State farmers, food hubs, and producers. The PC will enhance existing relationships and forge new ones to boost the quality and quantity of products sourced for the food bank, kitchen, and Curbside Market. The PC will oversee all Nourish NY food purchases and collaborate with team members to implement strategic distribution methods for all products.
Key Responsibilities
Sourcing and Procurement:
- Oversee the Nourish New York Grant food expenditures; procure all food to meet budget and grant requirements. Complete all necessary reporting and administrative tasks while collaborating with finance to ensure grant compliance.
- Lead special initiatives related to the procurement and sourcing of New York state products, including projects like the Feeding America's Boundless Collaboration Dairy Pilot.
- Manage strategic produce purchasing for Foodlink's Pop Up Pantry program, Kitchen, and Curbside Market, working closely with the Distribution Center Operations team to assess product needs while adhering to budgetary and product guidelines.
- Develop and enhance relationships with NYS farmers, food hubs, and producers to strategically source fresh products for Nourish NY, Curbside Market, and Community Kitchen, aiming for synergy across the organization.
- Utilize Feeding America's Meal Connect-Produce Marketplace for sourcing opportunities.
- Regularly travel throughout the service area to engage potential produce donors (local farmers, auctions, growers, etc.) to promote Foodlink's mission and identify perishable food donation and purchasing opportunities.
- Assist with outreach to food retail donors and manufacturers within the service area as needed.
- Collaborate with the Volunteer Programs & Event Coordinator to organize at least 1-2 annual gleaning events at local farms.
- Act as the primary contact for Feeding New York State's produce opportunities.
- Timely enter all vendors, donors, and applicable purchase and donation orders into the inventory system to ensure efficiency from receipt to distribution.
- Maintain comprehensive knowledge of Foodlink's inventory management systems and related reporting.
- Support the Food Procurement Manager with procurement tasks, data entry, and other assigned responsibilities.
Collaboration and Communication:
- Foster a strong collaborative relationship within the Operations team.
- Engage with regional food bank representatives to share best practices.
- Work collaboratively and support the organization's mission.
- Provide timely and exceptional customer service to all food industry partners, donors, and colleagues.
Qualifications
- Minimum of 2 years of experience in purchasing or procurement.
- Ability to communicate clearly and concisely, both orally and in writing.
- Proficiency in Microsoft Office Suite is required.
- Detail-oriented and organized.
- Friendly, customer-focused demeanor.
- Able to work effectively in a team environment.
- Valid driver's license with a good driving record and reliable transportation; willingness to travel within the service area.
- Fluency in English is required; knowledge of Spanish is a plus.
Salary and Benefits
This is a full-time position compensated on an hourly basis, with a range of $20.45 - $25.69/hour (dependent on experience). Foodlink provides 100% coverage for individual health and dental insurance, with options for family coverage available through pre-tax contributions. In addition to generous paid time off (PTO), we observe 14 paid holidays throughout the year. Employees are eligible to contribute to a 401k retirement savings plan upon hire, with a generous employer match after one year of service.
